Job Description
This position is with a Student Activities department within an educational institution, responsible for managing a variety of student-centered events. The Student Activities department focuses on enhancing the campus life experience by organizing and executing a broad range of engaging activities that cater to the diverse interests of the student body. These events offer students opportunities for entertainment, social interaction, and cultural engagement throughout the academic year. The department champions student involvement and aims to foster a vibrant community atmosphere where students can develop leadership skills, make new connections, and enjoy memorable campus traditions.
The role of Event Manager in this department is comprehensive and dynamic, requiring an individual with strong organizational skills, creativity, and a passion for student engagement. The Event Manager will be charged with the full cycle of event management, from conceptual planning and coordination through to execution and post-event evaluation, specifically for events classified as Student Activities. This includes signature annual occasions such as Homecoming Spirit Week, Homecoming Carnival, SA BBQ, UnTapped, Food Fest, lobby activities, and snow tubing events. The manager will serve as the primary contact and supervisor during events to ensure smooth operations and a high-quality experience for participants.
The Event Manager will report directly to the Entertainment Director, Chief of Staff, and Executive Board, providing regular updates, proposals, and status reports related to assigned and newly developed event initiatives. They will be responsible for coordinating logistics with vendors, managing budgets, and ensuring all contracts and advance arrangements are in place to meet event requirements. Critical skills needed include multi-tasking, professional communication, negotiation, adaptability, and a strong understanding of student activities and their nuances.
This role entails being present at all assigned events to oversee coordination of event staff and resources, ensuring that every aspect runs flawlessly. Attendance is also required at all Student Activities staff meetings, trainings, and related activities, along with completing any preparatory work necessary for successful meetings or event execution. This hands-on leadership role involves supervising teams, collaborating with department leadership, and maintaining a professional, energetic demeanor that reflects the department's commitment to serving the student body.
In addition to event planning and execution, the Event Manager will actively participate in Entertainment Department meetings and support additional duties assigned by leadership. Job Duties
- Report to the Entertainment Director, Chief of Staff and Executive Board
- Responsible for planning of assigned, as well as, new and innovated events
- Contact vendors to determine availability of activities
- Create event budgets proposals and estimated revenue for events
- Prepare event proposals for the Entertainment Director's review
- Handle all vendor communications
- Responsible for any advance arrangements with Vendors
- Function as supervisor for the execution of events and must be present at the events
- Oversee coordination of all staff at the activity and any other resources
- Attend all SA Staff meetings, trainings and staff activities and complete any preparation work that may be required in advance of such meetings
- Attend any Entertainment Department meetings
- Complete additional tasks as assigned by the Entertainment Director, Executive Board and Chief of Staff
- Maintain a professional attitude with sincerity and enthusiasm reflecting SA's commitment to the student body
