The role of Event Manager at the Overture Center for the Arts plays a critical part in ensuring the success of various non-theatrical public and private events hosted in the facility. This part-time position, paying an hourly wage of $23.77, requires the individual to perform under limited supervision while coordinating on-site customer services during events. The Event Manager is the primary point of contact for customers during events and must handle last-minute changes or requests, guaranteeing the highest level of service within the center’s capabilities. This position demands versatility, as the manager will collaborate closely with security staff, caterers, house technicians, maintenance teams, and other personnel essential to event execution.

Throughout the event timeline, from preparation through completion, the Event Manager implements detailed event plans using complex room booking software, generates and reviews event reports and work orders, and manages communications concerning space usage, equipment needs, and general event services among various departments. The manager actively enforces building policies and procedures to maintain safety and order, oversees the load-in and load-out of external vendors, and ensures that guests, vendors, equipment, and staff exit the building securely once events conclude. Additionally, the Event Manager may provide technical support and setup assistance as necessary. The role requires the ability to input event data post-event, generate comprehensive reports, and perform other duties as assigned by supervisory personnel.

Working conditions involve a combination of office work and active movement throughout the building, requiring the use of computers, office equipment, telephones, and two-way radios essential to coordination efforts. Flexibility in working hours is necessary due to the variable event schedule. The Event Manager must demonstrate excellent communication skills, an ability to work with diverse populations, and a keen understanding of event coordination logistics and customer service excellence. Job Requirements

  • High school diploma/GED
  • 2 years college or technical college coursework in Business Administration, Hotel Management, or related area preferred
  • 2 years experience coordinating services and enforcing rules and regulations including at least 1 year in the entertainment and/or hospitality industry
  • Basic knowledge of event set-up and coordination
  • Knowledge of audiovisual and other technical equipment preferred
  • Ability to learn computer operations applicable to areas of responsibility
  • Ability to deal effectively and communicate with customers of various ages, socioeconomic statuses, and ethnic groups
  • Ability to handle diverse circumstances and activities
  • Ability to understand and independently carry out direction and procedures
  • Ability to sit or stand for up to 10 hours per day
  • Ability to operate a computer, telephone, and two-way radio
  • Required to use two-way radio for work purposes

Job Qualifications

Job Duties

  • Represents Overture Center at events as primary customer contact and event liaison
  • Implements event plan details using complex rooms booking program, event reports, and work orders
  • Coordinates information regarding space usage, equipment requests, and general event services between various Overture Center departments, security staff, coat check staff, house technicians, maintenance, and catering
  • Coordinates event details with all other activities in the building
  • Accommodates on-site requests based on extensive understanding of building and equipment use policies
  • Assists external vendors with load-in, set-up, and load-out
  • Enforces building policies, procedures, and regulations
  • Oversees events and ensures guests, vendors, equipment, and staff make it safely out of the building
  • Provides certain technical and set-up support as needed
  • Inputs room use data into computer post-event and generates appropriate reports
  • Performs all other tasks as assigned
