The role of Event Manager at Robert Young Estate Winery is a fantastic opportunity for a seasoned professional passionate about luxury hospitality and event management. The Event Manager is charged with driving event revenue through strategic sales and impeccable client service. This position requires autonomy in managing the entire event sales cycle – from prospecting new clients to closing contracts and ensuring financial success. Supported by an in-house team during event execution, the role demands creativity, exceptional organizational skills, and a deep commitment to delivering a high-touch luxury client experience.
As the Event Manager, you will engage directly with clients and key partners such as event planners, destination management companies, corporate clients, and hospitality partners to cultivate strong relationships and secure bookings. Your creativity will be instrumental in developing customized event proposals that detail every aspect, from design schematics and timelines to food, beverage, and staffing needs. The role also involves meticulous communication with clients, responding promptly to inquiries, adapting to changes, and ensuring flawless execution on the day of the event.
Beyond sales and client relations, the Event Manager is responsible for strategic planning and financial oversight of events. This includes crafting annual event sales strategies, performing ROI analyses, monitoring budgets, and providing detailed monthly reports to winery leadership. Your skill in partnership development will further enhance the estate's presence, as you nurture collaborations with luxury resorts, boutique hotels, transportation companies, and local vendors to create exclusive programs and immersive experiences.
The ideal candidate will have at least two years of demonstrated success in corporate or group event sales within luxury hospitality, wineries, or high-end destination venues. Familiarity with the Sonoma and Napa luxury resort markets and an existing network of industry contacts will be advantageous. The role offers flexibility with the necessity for occasional on-site visits, participation in staff meetings, and event execution, occasionally extending to weekends, evenings, and holidays. Proficiency with tools such as Excel, Word, WineDirect, POS systems, Red Chirp, and Tock is essential.

Job Requirements
- Minimum 2 years of experience in luxury hospitality or event sales
- Proven success in business development and meeting revenue targets
- Experience with event budgeting and ROI analysis
- Established network within destination management companies and corporate clients

Job Qualifications

Job Duties
- Manage the end-to-end sales cycle including prospecting, site visits, tastings, proposal creation, contract negotiation, closing and day-of execution
- Drive event bookings through outreach to event planners, destination management companies, corporate clients and hospitality partners
- Sell and secure corporate, trade, and consumer events to meet and exceed revenue targets
- Prepare customized proposals including design schematics, timelines, services, food and beverage, and staffing
- Maintain clear and timely communication with clients and handle changes professionally
- Partner with clients' event specialists to optimize events and exceed expectations
- Communicate event bookings and details with internal team members
- Follow up with clients post-event to ensure satisfaction and generate referrals
- Utilize computer applications including Excel, Word, WineDirect Admin/POS, Red Chirp, and Tock
- Develop annual event sales strategy and manage budgeting and ROI goals
- Expand and strengthen partnerships with luxury resorts, boutique hotels, transportation companies, and corporate groups
- Represent the winery at industry events and community endeavors
- Attend off-site networking events
