We are currently seeking an experienced Events Manager to oversee the comprehensive planning and execution of all company tradeshows and key events. This role is pivotal in managing the full lifecycle of events, ensuring every aspect is meticulously handled from the initial contract review through post-event reporting. The Events Manager will be responsible for maintaining an 18-month event calendar, managing budgets effectively, and coordinating cross-functionally to meet marketing campaign goals. This position involves supervising multiple event types simultaneously, including large-scale trade shows and smaller customer and tabletop events, along with fulfilling sales team requests for marketing collateral and promotional materials. The successful candidate will have a proven track record within the past five years as the tradeshow lead, with hands-on experience in space selection, contract negotiation, logistics management, and onsite event execution.
In addition, the role requires collaboration with internal teams such as marketing, sales, and product departments, as well as coordination with international counterparts. The Events Manager will also oversee company marketing materials, managing inventory, ensuring brand consistency, and working closely with print and promotional vendors to guarantee timely delivery and high-quality outputs. Job Duties
- develop and manage comprehensive project timelines and event checklists for large-scale conferences
- lead end-to-end tradeshow planning and execution including securing booth logistics quotes and vendor proposals
- process conference agreements
- identify and manage event-related vendors negotiate pricing process agreements and invoices
- develop and manage event budgets and forecasts
- track expenses and prepare monthly reporting summaries post show noting recommended changes for future events
- coordinate all booth logistics including renewal booth storage and logistic agreements
- work with booth vendors on quotes for repairs shipping design updates and conference schedules
- ensure all marketing materials signage collateral and promotional items are delivered on time
- oversee print production of collateral and promotional giveaways and work closely with marketing and creative design teams
- fulfill brochures requests from field sales reps and maintain print inventory of collateral
- support field sales representatives for table-top exhibits including roller banners and table drapes
- source sustainable brand promotional items and reorder giveaways for tradeshows prospects and customer meetings
- support customer briefings and experience center initiatives
- process and track vendor contracts invoices and payments
- maintain organized documentation for all event-related agreements use shared folders
- serve as marketing document approval system administrator ensuring coordination and distribution of final approved documents between marketing and creative teams
- prepare and distribute management-level summary post event reports
