In this role, Aramark is seeking an Event Manager to support the Allen County Arena & Expo Center in Fort Wayne, Indiana. The Event Manager position is vital for ensuring smooth event planning and coordination within the Expo Center and its meeting spaces. This role serves as a key interface between clients, building services, and internal departments to ensure successful event execution. Responsibilities include managing activities related to tradeshows, consumer events, private functions such as weddings, banquets, and business meetings. The candidate is expected to work closely with promoters, exhibitors, vendors, and various stakeholders to guarantee seamless event flow.

The Event Manager also functions as an integral member of the sales team, handling incoming inquiries from prospective clients and managing relationships with existing clients for re-bookings and scheduling. This involves conducting tours, developing detailed floor plans compliant with building and safety codes, and creating checklists for event preparation. The role demands an individual with excellent communication skills, adept in utilizing technology for customer relationship and event management systems. The Event Manager is tasked with managing billing processes for events, ensuring spaces are prepared timely, and supervising events to maintain high standards.

The position requires a flexible schedule, including working nights, weekends, and holidays, to align with the timing of scheduled events. The ideal candidate should possess a professional and outgoing personality with well-developed verbal and written communication skills. Proficiency in Microsoft Office Suite, particularly Word and Excel, and familiarity with DataCAD design software are essential for success. Furthermore, the ability to absorb complex instructions, a keen attention to detail, and strong organizational skills are critical. A valid driver’s license and access to a private vehicle for business use are also required to fulfill duties effectively.

Job Requirements

  • High school diploma or equivalent
  • Experience in event planning or management preferred
  • Ability to work flexible hours including nights, weekends and holidays
  • Valid driver’s license
  • Access to a private vehicle for business use
  • Proficiency in Microsoft Office, especially Word and Excel
  • Familiarity with DataCAD design software
  • Excellent communication skills, both written and verbal

  • Ability to work nights, weekends and holidays as directed for events

Job Duties

  • Coordinate activities with promoters, exhibitors, vendors and other external and internal departments for all tradeshows and consumer events
  • Coordinate activities with private event clients for planning and logistics of wedding receptions, banquets, business meetings
  • Work irregular schedule as required to ensure proper supervision of assigned events and activities
  • Maintain contact with promoters, repeat clients, vendors and other external stakeholders throughout the year to ensure a productive working relationship
  • Develop detailed floor plans, room diagrams and checklists for each event in accordance with applicable building fire codes and distribute to venue departments for implementation
  • Manage billing for events, including space and equipment rental charges and other building services
  • Utilize computer technology for customer relationship and event management
  • Ensure that spaces are ready when client arrives to set up or move-in
  • Assist Vice President of Sales in responding to phone, email and walk-in rental inquiries
  • Conduct tours of spaces and consult with prospective rental clients to maximize building usage
