Job Description

Witt Student Activity Center, Aquatic Center, UREC Outdoor Pool Complex, Intramural Field Complex, and tennis and pickleball courts. The department is dedicated to providing excellent service while supporting the University community’s needs for recreational, educational, and social activities.

The role of Event Logistics Coordinator within the UREC Administration is a critical position focused on overseeing the event operations across multiple large-scale University facilities. This salaried position, with a pay range from $44,200 to $55,300, is responsible for managing event logistics, planning, and execution to ensure a seamless experience for clients and participants. The role involves the coordination and scheduling of facility spaces, managing student employees, and collaborating with diverse University departments and external clients to accommodate various events including special programming, camps, and general public requests. The Event Logistics Coordinator is essential in maintaining communication with customers to ensure all event needs are met and that events are coordinated effectively. Alongside event management, the coordinator is tasked with supervising staff, overseeing inventory management of sports and fitness equipment, managing risk and policy enforcement, and assisting in administrative duties such as payroll and budgeting.

This position operates primarily during regular business hours, Monday through Friday, 8:00am to 5:00pm, with flexibility for some evening and weekend shifts to support event requirements. The coordinator leads a team of student employees, providing development opportunities and fostering positive relations within the University community. The role also emphasizes adherence to legal and safety standards through ongoing training related to workplace laws, creating a safe and respectful environment. The ideal candidate for this role will have a solid background in event planning or coordination, excellent interpersonal and organizational skills, and the ability to mentor and develop students. Experience with facility management software and familiarity with university recreation operations is highly beneficial. Additionally, the coordinator will contribute to process assessments and recommend process improvements to enhance the department’s efficiency and service quality, ensuring the continued success and excellence of University Recreation events and activities. Job Requirements

  • prior event planning or coordination experience corresponding to education level

Job Qualifications

  • bachelor's degree with event planning or coordination experience
  • excellent interpersonal and communication skills
  • strong organizational and multitasking abilities
  • demonstrated experience in student leadership development
  • ability to advise, teach, and mentor students
  • proficiency in facility scheduling software and invoicing preferred
  • master's degree in related field preferred
  • facility management experience in collegiate or municipal recreation setting preferred
