The Event Lead role is an exciting opportunity to take a hands-on leadership position within the Garden's Special Events team. Reporting to the Event Logistics Manager, the Event Lead is instrumental in executing seamless day-of-event operations, ensuring that every detail supports an exceptional guest experience. This position requires someone who thrives in dynamic environments and is adept at vendor coordination, client interaction, and multi-department communication. Acting as the go-to leader during event shifts, the Event Lead oversees vendor load-in and load-out, manages onsite production and cleanup, and ensures safety and facility integrity throughout the event.
Candidates for this role will engage directly with clients, caterers, vendors, and event planners, demonstrating superior customer service and professionalism. They will be responsible for understanding all event documentation, including diagrams and contracts, to anticipate needs and preempt challenges. The role demands strong organizational skills, creativity in problem-solving, and the ability to respond quickly under pressure. The Event Lead also supports team training and office duties as required, contributing to the overall excellence of the Garden's event presentations.

Job Requirements
- 1-2 years experience with event coordination
- Must be able to work independently and in a team environment
- Availability for daytime, weekend, early morning and late-night shifts
- Excellent leadership, organizational and time management skills
- Creative problem solving and customer service skills
- Clear and professional communication with vendors and clients
- Ability to understand diagrams and event paperwork
- Personable with a positive attitude
- Reliable transportation and ability to work a changing schedule including weekends, evenings and holidays
- Ability to stand and walk for extended periods
- Ability to lift up to 40 pounds
- Able to work outdoors in all seasons
Job Qualifications
- 1-2 years experience with event coordination or execution
- Excellent leadership, organizational and time management skills

Job Duties
- Review and understand all event paperwork prior to shift to ensure seamless execution
- Oversee vendor load-in and load-out, including setup, breakdown and cleanup of the event
- Effectively interact with clients (internal and external), caterers, wedding planners, ensuring excellent customer service and a top-quality experience
- Communicate efficiently and effectively across various Garden departments
- Responsible for completion of event paperwork, incident reports, and handling of issues pertaining to vendors, safety, and facility maintenance
- Monitor event activities to ensure client and attendee satisfaction
- Assist with managing on-site production and cleanup for events
- Assist with office tasks as necessary
- Oversee vendor load-in at various Garden entrances
- Act as go-to shift leader
- Assist with check-in shifts
- Assist with maintaining organization in Event Lead Room and Special Events storage areas
- Train new team members
- Provide excellent customer service to meet client needs and requests
- Work professionally with all levels of management and staff
- Collaborate in a team environment to execute private and public events
