The role of Event Lead at the Atlanta Botanical Garden is a critical position that contributes directly to the success of both private and public events hosted at the venue. Reporting to the Event Logistics Manager, the Event Lead is responsible for overseeing the seamless execution of daily event operations. This hands-on role demands excellent coordination skills, customer service excellence, and the ability to manage multiple moving parts to ensure an exceptional experience for clients, attendees, and vendors alike. The Event Lead acts as the on-site leader during events, managing vendor load-in and load-out, coordinating with Garden departments, and addressing any issues that arise during event execution. This role offers a unique blend of administrative oversight, operational leadership, and direct customer engagement.
Event Leads are expected to thoroughly understand all event paperwork, including diagrams and client instructions, to ensure smooth event flow from start to finish. They serve as a primary point of contact for clients, caterers, wedding planners, and vendors, guaranteeing that communication is clear, confident, and professional. Additionally, they are responsible for maintaining the integrity of the Garden's facilities by monitoring event activities to prevent damage and ensure guest safety. Flexibility in working hours is essential, as this position requires availability for daytime, weekend, early morning, and late-night shifts, adapting to a dynamic schedule that aligns with the varied nature of Garden events.

Job Requirements
- 1-2 years experience with event coordination/execution
- Must be able to work independently as well as on a team environment
- Must have availability to work both daytime and weekend shifts as well as early morning and late-night shifts
- Demonstrate excellent leadership, organizational and time management skills
- Ability to respond quickly and effectively to change
- Creative problem solving and excellent customer service skills
- Ability to communicate clearly, confidently and professionally with vendors and clients
- Be able to understand diagrams and all event paperwork
- Personable with a positive attitude
- Must have access to reliable transportation and be able to report to work on a changing schedule, including weekends, evenings and holidays

Job Duties
- Review and understand all event paperwork prior to shift to ensure seamless execution
- Oversee vendor load-in and load-out, including set-up, break down and cleanup of the event
- Effectively interact with clients (internal and external), caterers, wedding planners, ensuring excellent customer service and a top-quality experience
- Communicate efficiently and effectively across various Garden departments
- Responsible for the completion of event paperwork, incident reports, and handling issues related to vendors, event safety, and facility maintenance
- Monitor event activities to ensure client and attendee satisfaction
- Monitor guest behavior and communicate with appropriate departments as needed
