Job Description

Meetings & Incentives Worldwide, Inc. (M&IW) is a premier global event management company specializing in orchestrating virtual, hybrid, and in-person experiences tailored to meet the diverse needs of clients around the world. Established over 50 years ago, as a third generation, privately held, and certified Women’s Business Enterprise (WBE), M&IW prides itself on its entrepreneurial spirit, commitment to quality, agility, flexibility, and innovative solutions. Headquartered in Caledonia, Wisconsin, USA, M&IW operates with a vast network of professionals working remotely across the United States, United Kingdom, China, Brazil, and Latin America. The company maintains a client-centric approach, placing customers at the core of every decision and delivering comprehensive event strategies and consulting services that exceed expectations. Their portfolio includes managing large-scale global conferences, intimate corporate meetings, incentive travel events, and complex hybrid engagements all while ensuring exceptional client satisfaction.

The role of the Event Experience Manager within M&IW is integral to the success of client programs, focusing on delivering a measurable return on investment by aligning every facet of the event with the stated goals and objectives. This full-time, exempt position requires an individual adept in project management, client engagement, and operational execution. The Event Experience Manager acts as a tactical leader, collaborating closely with clients, vendors, internal operations, and support teams to ensure seamless service delivery. Areas of responsibility include financial management, vendor negotiation, onsite leadership, and adherence to rigorous corporate and pharmaceutical compliance standards. The manager oversees multiple projects often under tight deadlines, managing details from contract review and venue sourcing to technology integration and logistical coordination. They are expected to demonstrate expertise in event software such as Cvent, support digital production, and ensure accurate financial reconciliation and reporting.

Additionally, this role demands onsite presence approximately 35% of the time, both domestically and internationally, where the Event Experience Manager provides decisive leadership and communications direction. They coordinate emergency preparedness plans, supervise vendor activities, manage ground transportation, and oversee event logistics, ensuring that each occasion runs smoothly from start to finish. For clients in the life sciences sector, specialized knowledge of healthcare provider payments and compliance with related policies is critical.

Physical capacity to perform onsite tasks, which may include extended standing, lifting up to 40 pounds with assistance, navigating diverse environments, and occasional driving, is necessary. This reflects the dynamic and hands-on nature of the position during live events. The Event Experience Manager is supported by a team spanning multiple departments and engages directly with external stakeholders to build and maintain strong professional relationships.

M&IW values employees who exemplify cultural excellence, emotional intelligence, and high role expectations. The company encourages a collaborative and innovative workplace environment, offering competitive salary packages, comprehensive health benefits including medical, dental, vision, and life insurance, a 401K plan, paid holidays, and personal time off for vacation and sick leave. Additionally, employees benefit from modern technological tools such as laptops, monitors, mobile phones, and options for remote work or working from the corporate headquarters near Milwaukee. The company also actively participates in a global giveback program promoting volunteer service, fostering a positive community impact.

For those bringing a college degree or equivalent experience, with at least 2-3 years in meetings operations, strong knowledge of virtual and hybrid event platforms, excellent communication skills, and project management capabilities, the Event Experience Manager role at M&IW presents a rewarding opportunity to grow their career with a global leader in event management. Proficiency in Microsoft Office and experience with database platforms like Cvent are highly valued, as is experience in life sciences events. M&IW’s inclusive policies ensure equal employment opportunities regardless of race, gender, age, or any protected status, reinforcing their commitment to a diverse and respectful workplace.
