We are currently seeking a highly motivated and organized Event Coordinator to join our growing sales department. This role is essential to the smooth operation of our business, as it supports the sales team by managing behind-the-scenes administrative duties and playing an active role in the event booking process. The Event Coordinator is responsible for ensuring that every detail—from initial call to final event execution—is handled with precision and a customer-first focus. As a vital link between our guests, sales team, and operations, this position requires excellent communication skills, a proactive attitude, and a strong organizational ability.

The Event Coordinator will be involved in multiple aspects of the sales and event process, making confirmation calls to finalize event details, handling requests for proposals (RFPs), conducting site tours, and converting social event inquiries into confirmed bookings. Additionally, this role demands a proactive approach to upselling opportunities to maximize event revenue. Administrative tasks such as managing contracts, updating banquet event orders (BEOs), and collaborating closely with both sales and operations teams are integral to this role.

The ideal candidate will be friendly, outgoing, and demonstrate a "You Got It" attitude, embracing responsibility with enthusiasm and a willingness to jump in wherever needed. Effective communication and decision-making skills are vital for success, as is the ability to analyze basic data to aid in operational and sales decision-making. Fluency in English and strong verbal skills are required to ensure clear and consistent communication with guests and internal teams.

This position offers a salary range of $15 to $20.25 per hour and works within an equal opportunity employment framework with participation in E-Verify where applicable. Job Requirements

  • High school diploma or equivalent
  • Prior experience in event coordination or similar role preferred
  • Strong verbal and written communication skills
  • Ability to manage multiple administrative tasks efficiently
  • Proficiency in English language
  • Good decision-making and problem-solving abilities
  • Ability to work collaboratively with sales, operations, and management teams

Job Duties

  • Go above and beyond to ensure the needs of each special events guest are met, communicating all requests from host to ensure all contracts are updated accordingly
  • Take RFPs and calls for social events, converting them to closed won business
  • Conduct site tours as needed
  • Ensure accurate and prompt distribution of all paperwork for pop up parties working through management team to ensure they are staffed to support
  • Provide administrative support to the sales department including follow up on calls/emails/tasks with event host after the sale is closed won, communicating to operations any changes to BEOs or updated signed contracts
  • Follow up on ARs, collect payment information, and close out any remaining balances
  • Submit check requests/invoices as needed
  • Ensure operations has the most up-to-date BEO for each event
  • Offer upsell opportunities to event hosts after sale is closed won
  • Perform other duties as assigned, including proactively meeting needs, sharing ideas, and assisting team members
