The open position of Event Coordinator Supervisor within Varsity All Star Operations is a vital leadership role responsible for orchestrating regional event execution and ensuring operational consistency aligned with financial goals. This full-time role is based onsite in Louisville, KY, with some remote work arrangements possible depending on business needs and qualifications. The role necessitates significant travel and flexibility including weekend commitments during peak event seasons.
The Event Coordinator Supervisor leads a regional operations team, managing the performance and development of Event Coordinators and supporting roles. This position holds accountability for regional event financial performance, margin optimization, and budgeting. Moreover, the supervisor ensures events are executed safely, efficiently, and in accordance with company standards. Key responsibilities include team management, financial oversight, event operations supervision, continuous operational improvement, cross-functional collaboration, and hands-on leadership at major events.

Job Requirements
- Bachelor's degree in business or related field or equivalent work experience
- Minimum of 5 years industry experience
- Proven leadership and team management skills
- Strong financial management and budgeting capabilities
- Excellent communication and interpersonal skills
- Ability to travel frequently including weekend travel during peak seasons
- Ability to stand walk and lift minimum 30 lbs during events
- Proficiency with Microsoft Office Excel and related management systems
- Experience working in a fast-paced event operations environment
- Commitment to safety and compliance standards
Job Qualifications
- Bachelor's degree in business or related field or equivalent work experience
- Minimum of 5 years industry experience
- Strong financial acumen including budgeting forecasting and profit and loss interpretation
- Proven people leadership experience with ability to coach develop and hold teams accountable
- Demonstrated ability to drive operational strategy process improvement and change management
- Strong organizational and project management skills with attention to detail
- Excellent communication and interpersonal skills with ability to influence cross-functions
- Ability to analyze data identify trends and make informed decisions
- Proficiency in Microsoft Office especially Excel SalesForce Workday and related systems
- Ability to operate effectively in a fast-paced high-volume environment
Job Duties
- Provide direct leadership coaching and development to the regional operations team
- Establish clear performance expectations and hold team members accountable
- Lead hiring onboarding training and ongoing development of team members
- Conduct performance evaluations provide real-time feedback and support career development
- Foster a high-performance collaborative team culture
- Manage team capacity and align staffing resources
- Oversee regional event financial performance ensuring alignment with budget targets and margin expectations
- Review and approve event budgets forecasts and post-event financials
- Identify and implement cost-saving opportunities and margin improvements
- Monitor financial trends and partner with leadership to address risks
- Ensure accurate and timely financial reporting forecasting and reconciliation
- Provide oversight and direction for planning and execution of regional events
- Serve as an escalation point for complex or high-risk events
- Ensure consistency in event planning timelines safety standards staffing models and vendor coordination
- Partner with Event Coordinators to review event plans troubleshoot challenges and drive operational excellence
- Maintain accountability for overall event execution quality safety and customer experience
- Drive standardization of processes tools and best practices
- Leverage post-event data and team feedback to identify trends and implement improvements
- Partner with leadership to support long-term operational strategy and scalability
- Lead or contribute to cross-regional initiatives to improve efficiency communication and execution
- Ensure consistent communication and dissemination of operational updates
- Partner with regional and national leadership to align goals
- Collaborate with internal teams to support event delivery
