The Raising Cane's River Center, operated by LEGENDS GLOBAL, is a premier event facility located in Baton Rouge, Louisiana. The open position with Raising Cane's River Center / LEGENDS GLOBAL is a critical role focused on coordinating client needs with building staff to ensure the proper setup and seamless operation of events. This role requires a hands-on professional who can manage multiple aspects of event execution, including overseeing security, ticketing, staffing, and vendor coordination. The Event Services Coordinator acts as the main point of contact for clients during events and ensures that all logistical and operational details are meticulously addressed. This position is suited for someone with experience in event coordination or meeting planning, who thrives in a fast-paced environment and enjoys collaborating with diverse teams.
In this role, the Event Services Coordinator is responsible for initiating and distributing all necessary paperwork, confirming client requirements, scheduling and supervising part-time staff, and managing the deployment of outside contractors and vendors. The role demands strong organizational and communication skills and the ability to anticipate and solve problems proactively. Additionally, the coordinator will assist with training initiatives to enhance customer service skills among event staff and maintain detailed records related to event services. Physical stamina is required, as the job involves standing, walking, and lifting during events. The position requires working flexible hours, which may include nights, weekends, and holidays, to align with the event schedules.
Candidates should possess a bachelor's degree and preferably two to three years of relevant experience. Proficiency in various office and scheduling systems such as MS Windows, MS Excel, MS Outlook, MS Word, Celayix Scheduling System, and ADP eTime software is essential. An emphasis is placed on excellent customer service skills, independent decision-making, and effective communication. Job Requirements
- Bachelor's degree from an accredited college or university
- Two to three years related experience and/or training through event coordination or meeting planning
- Customer/Guest service experience is required
- Ability to work independently exercising judgment and initiative with minimal supervision
- Ability to maintain effective working relationships with employees and others
- Ability to work effectively under pressure and/or stringent schedule
- Ability to organize and prioritize work to meet deadlines
- Ability to follow oral and written instructions and communicate effectively
- Ability to operate standard office equipment and personal computer using MS Windows, MS Excel, MS Outlook, MS Word, Celayix Scheduling System and E-Time Software
- Ability to stand/walk for the duration of shift and carry and lift according to industry standards
- Willingness to work flexible hours including nights, weekends and holidays
- Physical ability to feel and reach with hands and arms, walk, stoop, lift up to 50 lbs. and stand for extended periods
Job Qualifications
- Bachelor's degree from an accredited college or university
- Two to three years related experience and/or training through event coordination or meeting planning
- Customer/Guest service experience
- Ability to work independently exercising judgment and initiative with minimal supervision
- Ability to maintain effective working relationships with employees and others
- Ability to work effectively under pressure in a fast-paced environment
- Strong organizational and prioritization skills
- Effective oral and written communication skills
- Proficient in MS Windows, MS Excel, MS Outlook, MS Word, Celayix Scheduling System and ADP E-Time software
- Ability to train employees in these systems
Job Duties
- Ascertain client requirements for physical setup, security, ticketing, etc. to ensure the event runs as requested
- Initiate and distribute required paperwork to communicate client requirements to appropriate facility departments
- Oversee event operations, outside contractors, third-party vendors, concessionaires, etc. during events to ensure that requirements are fully addressed and executed
- Ensure facility rules, regulations, HR policies and procedures are enforced
- Interview, hire, supervise and schedule all part-time staff for the Event Services Department as necessary
- Check-in part time staff for events ensuring timeliness, proper dress, posting positions for the event and conducting pre-event meetings
- Perform upkeep of the evaluation system for the part-time Event Services staff
