Job Description
The Raising Cane's River Center & LEGENDS GLOBAL is a premier convention and event center located in Baton Rouge, Louisiana. This venue is renowned for hosting a wide range of events including conventions, trade shows, concerts, and community events. The Event Services Coordinator role at Raising Cane's River Center & LEGENDS GLOBAL is pivotal in maintaining the high standards for which the venue is known. This position is responsible for coordinating client needs with building staff to guarantee proper setup, smooth operation, and overall success of events. It requires a proactive individual who can handle a broad spectrum of event logistics including overseeing outside contractors, third-party vendors, concessionaires, and managing part-time staff. The coordinator acts as a liaison between clients and various facility departments to ensure every detail is communicated and executed flawlessly.
This role demands strong organizational skills and the ability to manage multiple priorities simultaneously in a fast-paced environment. A significant part of the job includes interviewing, hiring, supervising, and scheduling part-time staff and ensuring that all event services are delivered according to established facility rules, regulations, and policies. The coordinator also assists in developing and implementing customer service training and maintains departmental records with precision. Moreover, managing service orders for utilities like electrical, phone, and internet services for clients and exhibitors is a critical function.
Physical demands such as standing and walking for extended periods, as well as lifting up to 50 pounds, are part of the job requirements, alongside the flexibility to work nights, weekends, and holidays. The position also involves using software systems including MS Windows, MS Excel, MS Outlook, MS Word, Celayix Scheduling System, and ADP eTime for payroll processing. Success in this role is marked by an ability to anticipate problems, develop solutions, and maintain a safe, secure, and sanitary workplace.

Job Requirements
- Bachelor's degree from an accredited college or university
- Two to three years related experience and/or training through event coordination or meeting planning
- Customer/guest service experience
- Ability to work independently, exercising judgment and initiative
- Ability to maintain effective working relationships
- Ability to work under pressure and meet deadlines
- Ability to follow oral and written instructions
- Ability to communicate effectively
- Proficiency in MS Office and scheduling/payroll software
- Physical ability to stand/walk extended periods and lift up to 50 pounds
- Flexibility to work nights, weekends and holidays
Job Qualifications
- Bachelor's degree from an accredited college or university
- Two to three years related experience and/or training through event coordination or meeting planning or equivalent combination of education and experience preferred
- Customer/guest service experience is required
- Ability to work independently, exercising judgment and initiative with minimal supervision
- Maintain an effective working relationship with employees and others encountered through the course of employment
- Work effectively under pressure and/or stringent schedule and produce accurate results in a fast-paced environment
- Organize and prioritize work to meet deadlines
- Follow oral and written instructions and communicate effectively with others in both oral and written form
- Ability to operate standard office equipment and personal computer(s) using MS Windows, MS Excel, MS Outlook, MS Word, Celayix Scheduling System and E-Time Software
- Must be able to stand/walk for the duration of shift and must be able to carry and lift according to industry standards
- Ability to work flexible hours, including nights, weekends and holidays
Job Duties
- Ascertain client requirements for physical setup, security, ticketing, etc. to ensure the event runs as requested
- Initiate and distribute required paperwork to communicate client requirements to appropriate facility departments
- Oversee event operations, outside contractors, third-party vendors, concessionaires, etc. during events to ensure that requirements are fully addressed and executed
- Ensure facility rules, regulations, HR policies and procedures are enforced
- Interview, hire, supervise and schedule all part-time staff for the Event Services Department as necessary
- Check-in part time staff for events ensuring timeliness, proper dress, posting positions for the event and conducting pre-event meetings
- Perform upkeep of the evaluation system for the part-time Event Services staff
