The Event Operations Coordinator role at H&B Events is a critical position dedicated to ensuring that every event runs flawlessly and guests receive the highest quality of service. This role demands a highly organized, proactive individual who can oversee the complete lifecycle of event operations—from setup and execution to teardown and maintenance. The coordinator acts as both a frontline representative, greeting guests and guiding site visits, and a behind-the-scenes operator managing logistical details and coordinating with multiple teams. They are responsible for ensuring that all client requirements are met as outlined in the contracts, coordinating with brand ambassadors and technical teams, and maintaining the upkeep of event equipment and spaces.
This role also involves giving tours of event spaces and the factory to guests, enhancing their overall event experience by sharing insights about the venue and its offerings. Technical aptitude is important, as the coordinator must address audio/visual issues promptly, including troubleshooting and liaising with A/V service providers to ensure smooth technical operations throughout events. Monthly inventory checks and reporting maintenance needs to the Events Manager are crucial for maintaining the quality and readiness of event spaces. Additionally, administrative support, floor plan preparation for client approval, and assisting with staff training are key functions that help maintain the high standards set by H&B Events.
Candidates for this role should possess excellent customer service skills, be confident communicators, and have a drive for sales, as well as a passion for baseball, which aligns with the core culture of H&B Events. Job Duties
- Oversee operations for all scheduled events
- Responsible for set up and tear down for each event
- Ensures all experiences listed in the client's contract are covered by a brand ambassador for the duration of the event
- Give factory tours and assist with museum experiences during event when needed
- Hosts guests for site visits and tours of all H&B event spaces
- Address any A/V malfunctions including troubleshooting and contacting A/V service providers
- Perform inventory checks monthly of event supplies
- Notify Events Manager of any maintenance needed for event spaces and equipment
- Assist with event administrative duties as needed
- Prepare floorplans for client approval
- Assist in training future event staff
- Work nights and weekends as needed
