The Event Operations Specialist role at SPIEC is an exciting per diem opportunity focused on delivering exceptional event experiences that align with Sharp HealthCare’s commitment to excellence. This position plays a critical role in coordinating all aspects of event day operations to ensure seamless, high-quality execution that exceeds client expectations. The specialist collaborates closely with multiple departments such as catering, audiovisual, security, and facilities, as well as with external clients and vendors, to provide a well-orchestrated and memorable event every time. Precision and attention to detail are crucial, as the goal is to achieve zero-defect event delivery as frequently as possible.

Apart from managing event day logistics, the Event Operations Specialist contributes to continuous process improvements that enhance SPIEC operations and the overall client experience. This includes developing and standardizing procedures, conducting facility tours, generating leads for future events, and supporting internal and external groups with event planning services. The role also entails onboarding and training new staff, managing volunteer teams during events, and participating in key meetings aimed at optimizing SPIEC’s event services.

This position requires strong organizational skills, exceptional communication abilities, and the capacity to thrive in a dynamic environment. The specialist must be adept at building positive relationships across all levels of leadership, from executive management to event attendees, ensuring that every interaction reflects the outstanding reputation of Sharp HealthCare. The role offers an hourly pay range from $37.58 to $54.30, commensurate with experience and qualifications, and involves approximately 8 hours of administrative work weekly with additional hours based on event schedules, which may include weekends. Although this is a per diem role without guaranteed weekly hours, it provides a unique opportunity to contribute to impactful events within a leading healthcare organization while honing expertise in event operations and client services.

Job Requirements

  • Bachelor's degree in hospitality management, marketing, communications, public relations, or related field
  • Minimum 3 years experience in marketing, event planning, and communications in corporate, agency, or healthcare environments
  • At least 2 years experience using Event Guru or similar event management software
  • Ability to occasionally work nights and weekends
  • Strong interpersonal and communication skills
  • Ability to coordinate multiple departments and manage events seamlessly
  • Capacity to work in a dynamic environment and respond to emerging opportunities
  • Commitment to ethical decision making and problem solving

Job Qualifications

  • Bachelor's degree in hospitality management, marketing, communications, public relations, or related field
  • 3 years experience in marketing, event planning, and communications in corporate, agency, or healthcare settings
  • 2 years experience with Event Guru or similar event management software
  • Certification in event management preferred
  • Exceptional communication skills with diverse audiences
  • Strong organizational and time management skills
  • Client-focused with attention to detail
  • Excellent interpersonal skills and ability to build relationships
  • Advanced proficiency with MS Office (Word, PowerPoint, Excel, Outlook, Publisher)
  • Ability to occasionally work nights and weekends

Job Duties

  • Coordinate all event day operations to exceed client expectations and deliver the optimal Sharp Experience
  • Collaborate with catering, AV, security, facilities, and other departments for cohesive event execution
  • Serve as the primary point of contact for SPIEC clients and vendors during event days
  • Develop and implement operating guidelines, protocols, and procedures for SPIEC events
  • Provide event planning services for internal and external groups
  • Schedule and coordinate room setups with third-party vendors and clients
  • Orchestrate facility tours and promotional events to generate leads and address client concerns
  • Deliver zero-defect events by maintaining communication and managing specifications
  • Anticipate and resolve event issues, providing service recovery as needed
  • Recruit, train, and manage event volunteers
  • Supervise event room setup, breakdown, inventory, and supply management
  • Document post-event learnings to improve client experiences
  • Evaluate and recommend SPIEC operations improvements in partnership with management
  • Update leadership on operational opportunities
  • Incorporate continuous improvement learning by engaging in professional development
  • Complete special assignments supporting Sharp Experience initiatives
  • Onboard and train new event staff on daily operations and procedures
