The Event Coordinator role at Oak View Group is a pivotal position within the venue’s event management team. This role involves comprehensive oversight of all activities associated with events happening at the venue. The coordinator’s responsibilities encompass managing labor, maintaining security staffing plans, and collaborating closely with promoters, sports teams, and other event representatives to ensure seamless communication and operation. The Event Coordinator is tasked with gathering, coordinating, and distributing all event-related information across departments, ensuring that every operational facet related to events is aligned and executed to perfection.

Additionally, the coordinator is responsible for preparing billing support, post-event reporting, and handling event logistics, including customer service elements aimed at enhancing the guest experience. This position demands acute attention to detail, excellent organizational skills, and the ability to communicate effectively across multiple teams and stakeholders. Job Requirements

  • 4-year degree from a college or university preferred
  • 1 year experience in arenas, convention centers, stadiums or theaters preferred
  • Ability to work flexible schedules including nights, weekends, holidays and extended hours
  • Proficiency in Microsoft Office products
  • Knowledge of CAD and Ticketmaster software preferred
  • Experience with event settlements advantageous

Job Qualifications

  • 4-year degree from a college or university preferred
  • 1 year experience in the same or similar position in arenas, convention centers, stadiums or theaters preferred
  • Ability to work flexible and sometimes demanding schedules including nights, weekends, holidays and extended hours
  • Experience with Microsoft Office products, CAD, and Ticketmaster ticketing software preferred
  • Previous experience with event settlements a plus

Job Duties

  • Advance each show or event with an appropriate show or promoter representative in a timely fashion
  • Communicate all event information to the appropriate departments and staff
  • Develop accurate event seating information with the Box Office Manager and Operations Manager and ensure that event set-ups are accurate
  • Communicate in a timely manner with each department head regarding specific needs and information for each event
  • Prepare and distribute the Event Data Sheet to all staff and departments in a timely manner
  • Prepare post-event reports for all events coordinated
  • Meet with facility sports tenants to collect and distribute game requirements and coordinate efforts to produce tenant events
  • Work with promoters and agents to coordinate and facilitate client needs for each event and provide cost estimates as required or requested
  • Prepare and submit expenses for event settlement and attend settlement if required
  • Execute other operational duties as assigned
