Job Description

At Oak View Group, the Event Coordinator role serves as a crucial function within the operational fabric of their venues. This position entails the comprehensive oversight of event execution, ensuring each live production—from concerts to sports and cultural events—runs seamlessly. The Event Coordinator is responsible for coordinating and supervising all event-related activities, which include maintaining security staffing arrangements, managing labor schedules, liaising with promoters, show representatives, and sports teams to collect and disseminate pertinent information, and supporting billing and customer service functions. The role demands an individual capable of orchestrating logistical elements with precision and fostering collaboration among various departments to deliver exceptional live event experiences to our guests.
This full-time position offers an hourly wage ranging from $16.50 to $18.00 and comes with substantial benefits such as health, dental, and vision insurance, a 401(k) savings plan with matching contributions, and paid time off that covers vacation days, sick leave, and 11 holidays annually. The Event Coordinator will play a key role in developing event seating arrangements in collaboration with box office and operations teams, preparing and distributing detailed event data sheets, and generating insightful post-event reports. Additionally, this role acts as a liaison with sports tenants to coordinate game day requirements and works closely with promoters and agents, proactively addressing client needs, providing cost estimates, and managing event settlements.
Success in this position requires multitasking skills, acute attention to detail, the ability to lead and motivate teams, and exceptional communication capabilities across various mediums. The role demands adaptability to flexible and sometimes irregular work schedules, including nights, weekends, and holidays, reflecting the dynamic nature of live event production. The work environment may range from quiet office settings during preparation phases to loud, high-energy atmospheres during events.

Job Requirements
- High school diploma or equivalent
- Ability to work flexible and sometimes demanding schedules including nights, weekends, holidays, and extended hours
- Strong multitasking skills and attention to detail
- Excellent interpersonal and communication skills
- Ability to lead, motivate, and collaborate with staff
- Proficient in Microsoft Office
- Previous experience in event coordination or related fields preferred
Job Qualifications
- 4-year degree from a college or university preferred but not required
- One year of experience in the same or similar position in arenas, convention centers, stadiums or theaters is preferred
- Ability to work flexible and sometimes demanding schedules including nights, weekends, holidays, and extended hours
- Experience with Microsoft Office products, CAD and Ticketmaster ticketing software preferred
Job Duties
- Advance each show/event with the appropriate show/promoter representative in a timely fashion
- Communicates all event information to the appropriate departments and staff
- Develop accurate event seating information with the Box Office Manager and Operations Manager, and ensure that event set-ups are accurate
- Communicates in a timely manner with each department head regarding specific needs and information for each event
- Prepares and distributes Event Data Sheet to all staff and Departments in a timely manner
- Prepares post-event report for all events coordinated
- Meet with facility sports tenants to collect and distribute game requirements and coordinate efforts to produce tenant events
- Work with promoters and agents to coordinate and facilitate client needs for each event and provide cost estimates as required/requested
- Preparation of and submission of expenses for event settlement
- Attend the settlement if required
- Executes other operational duties as assigned
