The Event Coordinator role at Oak View Group is a vital position responsible for managing all aspects of event operations within one of its premier venues. This role involves collaborating closely with promoters, show representatives, sports teams, and internal departments to ensure the flawless execution of a wide range of live events. The primary duties include developing detailed event plans, coordinating labor and security staffing, managing event logistics, and facilitating communication between various operational teams to maintain smooth event delivery. The coordinator also oversees billing preparation, customer service interactions with guests, and the generation of post-event reports. This position demands a highly organized, detail-oriented individual who can manage priorities effectively and work collaboratively with multiple stakeholders under sometimes demanding schedules that include nights, weekends, holidays, and extended hours. The role pays between $20.00 and $24.00 hourly, reflecting the importance of seasoned event management and coordination skills. Job Requirements

  • 4-year degree from a college or university preferred
  • 1-2 years of experience in the same or similar position in arenas, convention centers, stadiums or theaters preferred
  • ability to work flexible and sometimes demanding schedules including nights, weekends, holidays, and extended hours
  • experience with Microsoft Office products, CAD, and Ticketmaster ticketing software preferred
  • previous experience preparing Event Data Sheets a plus

Job Qualifications

  • Bachelor's degree from a college or university preferred
  • 1-2 years of experience in a similar position in arenas, convention centers, stadiums, or theaters preferred
  • experience with Microsoft Office products, CAD, and Ticketmaster ticketing software preferred
  • previous experience preparing Event Data Sheets a plus
  • strong communication and organizational skills
  • ability to work well under pressure and adapt to changing priorities

Job Duties

  • Advance each show/event with appropriate show/promoter representatives in a timely fashion
  • communicate all event information to the appropriate departments and staff
  • develop accurate event seating information with the box office manager and operations manager and ensure that event set-ups are accurate
  • communicate in a timely manner with each department head regarding specific needs and information for each event
  • prepare and distribute the Event Data Sheet to all staff and departments in a timely manner
  • prepare post-event reports for all events coordinated
  • meet with facility sports tenants to collect and distribute game requirements and coordinate efforts to produce tenant events
  • work with promoters and agents to coordinate and facilitate client needs for each event and provide cost estimates as required/requested
  • prepare and submit expenses for event settlement and attend settlement if required
  • execute other operational duties as assigned
