The role of Event Coordinator is a full-time, exempt position located in Louisville, Kentucky, with a hybrid work schedule that includes in-office days from Monday to Thursday and remote work on Fridays, supplemented by necessary travel. This position demands a proactive individual who is analytical, organized, detail-oriented, and process-driven. The Event Coordinator reports directly to the Operational Excellence Supervisor of Events Operations and plays a critical role in planning, coordinating, and executing memorable events that meet Varsity Spirit’s high standards for safety, efficiency, customer satisfaction, and profitability.

In this role, the Event Coordinator will manage budgets, negotiate vendor pricing, ensure operational alignment with cross-functional teams, and oversee event logistics including venue coordination, staffing, production, and safety compliance. They will serve as the onsite Event Director for assigned events, managing teams ranging from 20 to 40 staff members and working closely with venue personnel and internal stakeholders. The role entails significant travel, especially during the event season from October through May, and requires availability for 2-3 weekends per month.

The successful candidate will bring strong leadership abilities, excellent communication skills, proficiency in Microsoft Excel and other Office applications, and familiarity with platforms such as Salesforce, UKG, Workday, and Social Tables. With at least three years of experience in events and a Bachelor’s degree in business or a related field, this individual will be instrumental in driving event excellence. This position involves both office and physical work elements, including long periods of standing and walking at events, as well as handling equipment weighing 30 pounds or more.

Job Requirements

  • Bachelor’s degree in business or related field or equivalent work experience
  • minimum of 3 years experience in events preferred
  • ability to stand and walk for long periods during events
  • ability to lift, bend, push, pull, and manipulate equipment weighing minimum 30 pounds
  • excellent communication skills using radio, walkie-talkie, text messaging, and email
  • ability to work in a professional office environment when not at events
  • availability to travel for events including overnight stays
  • availability for 2-3 weekends per month during event season October through May

Job Qualifications

  • Working knowledge of Salesforce, UKG, and Workday including data entry and report generation

Job Duties

  • Manage cost of sales (COS) for corresponding events
  • establish the budget per event based on divisional and historical event margins
  • negotiate pricing with vendors
  • direct departmental spending impacting event budgets
  • create reliable forecasts and collaborate with Finance Manager
  • ensure purchase orders and event invoices are submitted promptly within budget
  • ensure margin expectations are met
  • perform post hoc assessments and recommend improvements
  • advance and coordinate competitions and complete planning checklists
  • partner with cross-functional teams to ensure alignment and adherence to best practices
  • coordinate with venues on event diagrams and logistics
  • assess and determine event staffing requirements
  • manage event contract labor including security, EMTs, stagehands, riggers
  • coordinate with third-party equipment and service providers
  • collaborate with internal partners like retail, sponsorship, streaming video
  • ensure certificates of insurance are secured
  • develop general schedules, performance orders, and confirmation packets
  • submit packing lists, venue checklists, safety documentation
  • communicate and collaborate with other event coordinators
  • support a positive attendee experience
  • execute event closeout responsibilities including final financials and reports
  • conduct post-event reviews and provide recommendations
  • collect and provide data for internal research and reporting
  • assess overall event safety needs
  • provide financial and event-related data to leadership
  • serve as onsite Event Director managing 20-40 event staff
  • coordinate with venue leadership and vendors
  • exercise discretion to adjust event details
  • plan and mitigate scenarios affecting event integrity and safety
  • oversee logistics and production teams
  • meet venue contacts before and during events
  • communicate with coaches and conduct meetings
  • make real-time financial decisions impacting safety
  • oversee event setup, execution, and troubleshooting
  • participate on business-essential committees and boards (USASF)
