The role offered is that of a Special Events Coordinator, a key player within the Experience Marketing team, focusing on the planning and execution of both live and virtual events. Reporting to the Senior Special Events Manager, the coordinator supports a wide range of high-profile events designed to engage enthusiast communities and promote the company’s consumer brand. This position requires meticulous attention to detail and exceptional organizational skills to manage multiple logistics aspects such as vendor coordination, scheduling, budgeting assistance, and onsite event operations.
The Special Events Coordinator is integral to delivering seamless event experiences that align with brand strategies and marketing goals. The role involves managing live activations, virtual event logistics, vendor communications, and onsite troubleshooting. The individual will collaborate closely with internal marketing teams, external partners, production crews, and talent to ensure each event runs smoothly and meets its objectives. Additionally, this role involves supporting administrative functions such as budget tracking, invoicing, and contract management. Flexibility and adaptability are essential, as event schedules may require support during evenings, weekends, and occasional travel.
This position offers a hybrid working schedule with three days onsite per week, promoting a balance between remote work and direct engagement with event environments. Job Qualifications
- Bachelor’s degree from an accredited college or university or equivalent practical experience
- 1 to 3 years of experience ideally in video gaming esports entertainment events or a related industry
- Strong understanding of and enthusiasm for gaming live events or community-driven brand experiences
- Experience supporting live and virtual events tournaments or brand activations
- Strong project coordination skills with the ability to manage multiple priorities and deadlines
- Experience assisting with budget tracking and expense management
- Exposure to vendor partner or agency collaboration for events
- Familiarity with livestreaming platforms event production and broadcast technology
- Strong cross-functional collaboration and communication skills
- Ability to work flexible hours including evenings weekends and travel as needed
Job Duties
- Support planning and execution of live and virtual events including flagship activations ensuring seamless logistics
- Manage schedules track milestones and assist with budgeting invoicing and vendor contracts
- Coordinate event setup onsite logistics inventory troubleshooting and volunteer staff support
- Liaise with vendors talent production teams partners and other stakeholders to manage deliverables
- Collaborate with marketing teams on event promotion and alignment with brand goals
- Organize travel hospitality registration and onboarding for guests talent and internal teams
- Support event technology setup livestreaming tournament hardware and broadcast logistics
- Monitor event metrics collect feedback and recommend process improvements
- Communicate clearly and adapt quickly to deliver operational excellence throughout all event phases
- Assist with contingency planning and resolve last-minute onsite issues promptly
- Stay current on industry trends technologies and best practices
- Ensure regulatory safety and accessibility compliance across event operations
