The Event Coordinator role is integral to the success of various events managed by the combined entity. Reporting to the Event Manager within the Sales & Services department, this salaried exempt position involves close collaboration with clients, service contractors, and internal operations personnel to ensure flawless event execution. The Event Coordinator is responsible for planning and organizing event logistics from inception to completion. This involves meeting with clients or their liaisons to understand event requirements, coordinating activities with service contractors, and guiding clients through contract provisions, policies, and procedures. Managing timelines and deadlines is a critical part of the role, including overseeing the submission of floor plans, meeting room setups, insurance documentation, and other pertinent details. The Event Coordinator also handles financial processes such as check requests and event-related purchases.
Communication is a key element of this position, requiring clear and timely coordination with operations staff to confirm equipment or service needs and scheduling of operational setups. The coordinator often supervises facility setups and acts as the primary liaison between clients and various facility departments to ensure smooth event execution. Maintaining ongoing communication during events is necessary to monitor progress, address client concerns promptly, and ensure overall satisfaction. Additionally, the role involves active participation in planning and organizational meetings to support facility operations. This position demands a high level of energy, enthusiasm, organizational skill, and the ability to work effectively under pressure while managing multiple priorities. Job Requirements
- Bachelor's degree from a four-year university
- 1 to 2 years related experience and/or training
- Or equivalent combination of education and experience
- Working knowledge of facility management principles
- Ability to prioritize and manage multiple projects under pressure
- Proficiency in Microsoft Office
- Ability to communicate effectively with clients and staff
- Ability to work independently and collaboratively
- Availability to work on-site or remotely depending on event requirements
Job Qualifications
- Bachelor's degree from a four-year university
- 1 to 2 years related experience and/or training
- Or equivalent combination of education and experience
- Working knowledge of principles of facility management, services, and equipment
- Demonstrated AutoCAD proficiency strongly preferred
- Proficiency in Microsoft Office software and general office equipment
- Demonstrated organizational, planning, and problem-solving skills
- Excellent communication, presentation, and interpersonal skills
- Ability to prioritize multiple projects and meet deadlines
- Ability to work effectively under pressure
- Ability to work with minimal supervision and interact with all levels of staff and clients
Job Duties
- Meets with clients and their liaisons to plan and organize event logistics
- Coordinates activities with various service contractors for events
- Guides clients in preparation of events by interpreting and explaining contract provisions, policies, and procedures
- Keeps clients informed on status of deadline schedules including floor plan submissions, meeting room setup specifications, insurance requirements, and relevant details
- Makes check requests and event-related purchases
- Provides clear, concise, and timely communications of detailed requirements to appropriate operations personnel
- Assists in scheduling operational setups to provide equipment or service needs
- Monitors and supervises facility setup when necessary
- Serves as primary liaison between clients and facility departments
- Monitors in-house events, maintaining close contact with clients and facility staff
- Follows up on client requests, concerns, and problems
- Attends planning, organization, and event facility meetings in support of operations
