The Herbert Wertheim College of Business at Florida State University is currently seeking a dedicated Events and Special Projects Coordinator to support its dynamic environment. This role is essential in planning, coordinating, and executing a variety of academic and non-academic events that are crucial to the college’s outreach and internal engagement. The coordinator will be responsible for managing all logistical aspects of events, including venue and room reservations, vendor coordination, catering, parking, signage, audiovisual support, as well as photography and videography services. Additionally, the role involves assisting with invitation distribution, mailings, registration processes, and the preparation of event materials to ensure seamless execution.

The Events and Special Projects Coordinator also exercises professional judgment in implementing policies and procedures related to event operations and service delivery. Supporting the college’s budget planning and management, the coordinator will assist with budget recommendations, expense monitoring, and reporting activities to ensure efficient use of resources. This position requires collaboration with various internal stakeholders as well as external partners to guarantee a high-quality attendee experience and successful event outcomes. Furthermore, the coordinator will contribute to the continuous improvement of event operations by maintaining and updating event databases, shared resources, vendor information, and operational procedures.

As a vital member of the Herbert Wertheim College of Business team, the coordinator will extend support to multiple departments, centers, and institutes within the college, ensuring events are well-supported throughout the academic year. Job Requirements

  • Bachelor's degree and two years of experience
  • High school diploma or equivalent and six years of relevant experience
  • Valid Florida or Georgia Driver's License or ability to obtain prior to hire

Job Duties

  • Serve as coordinator of events and special projects for the Herbert Wertheim College of Business
  • Plan, coordinate, and execute a variety of academic and non-academic events
  • Manage event logistics including venue and room reservations, event calendar requests, vendor coordination, catering, parking, signage, audiovisual support, photography/videography, and event staffing
  • Assist with invitations, mailings, registration processes, and preparation of event materials
  • Collaborate with internal and external stakeholders to ensure successful event execution and high-quality attendee experience
  • Exercise professional judgment in planning, coordination, and delivery of events and services
  • Support budget planning and management by assisting with recommendations, expense monitoring, and reporting
  • Assist with the development and implementation of standard operating procedures and best practices for event operations
  • Maintain and update event databases, shared drive resources, and related records
  • Collaborate with Wertheim College departments, centers, and institutes to support events
  • Perform other duties as assigned
