This role at Atypical is a key production position offering real ownership from the very beginning and a clear path to becoming a lead event producer. This is not an assistant role but rather a vital position where you will immerse yourself in every detail of the event process. You will be the expert on every donated auction item, vendor relationship, and logistical component, ensuring seamless event execution. The nonprofit clients rely heavily on these events for critical funding, and the auction component often determines the event’s overall success. With responsibility for managing these operations, this role is both meaningful and crucial.
The selected candidate will work closely with the President, who brings a decade of expertise in perfecting nonprofit fundraising events, providing a mentorship environment ideal for learning the craft at the highest level. From vendor coordination to auction management, client marketing collaborations, and leading logistics both week-of and during the event, this role offers comprehensive exposure to the full spectrum of fundraising event production. Over time, there is the opportunity to shadow timeline creation, build event run-of-show plans, and ultimately manage entire events independently.
The position requires an individual detail-oriented and self-managed to keep track of all moving parts without constant oversight. With a blend of hands-on auction platform experience, excellent vendor management skills, and professional writing ability, you will ensure that all event elements are flawlessly prepared and delivered. The role involves variable hours aligned with the event cycle, including evenings and weekends, with demanding periods before and during events. Compensation ranges from $28 to $32 per hour, plus a day-of flat rate for leading logistics. Job Requirements
- High school diploma or equivalent
- minimum two years of relevant event coordination or hospitality experience
- proficiency with auction management software
- excellent written and verbal communication skills
- capacity to manage vendor relationships independently

Job Qualifications
- Two or more years in event coordination, hospitality, or nonprofit events
- experience hosting galas strongly preferred
- hands-on experience with auction platforms such as Auctria or Greater Giving
- proven vendor management skills

Job Duties
- Serve as the primary contact for all vendors across every event
- source proposals, manage contracts, confirm details, and handle all vendor communication
- coordinate food and beverage including menu selection, bar plan, wine numbers, and dietary accommodations
- manage entertainment riders such as flights, hotel, meals, AV requirements, and transportation
- build and distribute vendor packing lists, payment schedules, and day-of arrival and setup times
- confirm all vendor payments before each event
- manage the complete silent auction lifecycle from donation through event night
- enter all donated items into auction software with detailed accuracy
- write clear and compelling auction item descriptions
- build and merge auction displays, create and print certificates, and package physical items
- manage all auction platform settings including texting setup and live processes
- send weekly donation status reports
- source and organize live auction items in coordination with the President
- prepare live auction listings, photos, descriptions, and display materials
- develop templated marketing plans for select clients
- draft social content, schedule posts, and manage eblasts
- support Atypical brand marketing if skill set allows
- lead week-of logistics by coordinating vendors, preparing event materials, and managing on-site day-of event logistics
- own the physical auction area on event night and provide checkout support
- shadow and support the President on event night
- progressively build independent timeline and event production skills
