Heartland Dental is the nation s largest dental support organization, providing non-clinical administrative support services to more than 3,000 supported doctors across 39 states and the District of Columbia in over 1,900 dental offices. In this context, the Event Coordinator, Education role is crucial in organizing and executing superior live and virtual education events that help fulfill Heartland Dental’s mission. As an Event Coordinator, Education, you will be responsible for supporting the logistics of Heartland Dental's virtual and in-person education events through proactive planning. Your role involves delivering world-class customer service and maintaining strong business relationships with both internal and external stakeholders. You will collaborate closely with course developers to ensure that every educational event not only meets but exceeds expectations while staying within budgetary guidelines. Mastery of the learning management system is essential as you will manage course details, registrations, and participant rosters with high accuracy and attention to detail throughout the event lifecycle.

Your duties will include handling and coordinating all aspects of event operations, ranging from vendor negotiations and hotel arrangements to printed materials and participant supplies. You will be the point person for travel bookings, overnight accommodations, and catering services for attendees, ensuring that logistics flow smoothly in support of the educational agenda. Support extends on-site and virtually during events by assisting course presenters and participants, maintaining seamless communication, and providing timely responses to inquiries via phone and email.

This full-time position requires a candidate who thrives in a fast-paced environment, capable of managing multiple priorities with meticulous organization and strong communication skills. The role also requires the ability to travel occasionally for 2-3 days, sometimes including Saturdays, and the physical capacity to lift up to 25 pounds regularly. The position offers exposure to various facets of event production, including audio/visual setups, and the opportunity to contribute meaningfully to continual educational excellence for dental professionals nationwide.   • Proficiency with Microsoft Office suite (PowerPoint, Excel, Outlook, Word)
  • Strong organizational skills, accuracy and attention to detail
  • Strong verbal and written communication skills
  • Ability to interact with co-workers in a collegial manner to accomplish common tasks
  • Must be thorough and detail oriented
  • Ability to travel for 2-3 days at a time as needed, including Saturdays
  • The ability to lift 25 pounds regularly

Job Qualifications

  • Strong event production understanding and A/V production experience

Job Duties

  • Collaborate with course developers to ensure alignment in the needs of each program, ensuring we create a world-class educational experience while maintaining budgetary guidelines
  • Responsible for managing assigned course details, registrations and rosters on our Learning Management System
  • Learn and utilize our learning management system to provide overall support with course details, registrations and rosters
  • Handle, coordinate and oversee all in-person and virtual event operation details, working with various hotels and vendors as needed
  • Responsible for the coordination of printed participant materials as well as hands-on supplies
  • Book travel for all attendees for selected programs
  • Arrange the overnight room and catering process with vendors for assigned events
  • Deliver on-site and virtual support to course presenters and participants
  • Responsible for accurate and timely credit card allocations for assigned events
  • Answer all phone and email inquiries directed to the Education Event’s team in a timely manner
  • Provide world-class customer service to both internal and external customers
