The company is currently seeking a motivated and detail-oriented Event Coordinator to support its busy sales department. This professional will be responsible for handling administrative duties that include managing event confirmations and details, following up with clients post-sale, and coordinating communication between guests, the sales team, and operations staff. In addition to administrative tasks, the Event Coordinator will actively participate in the sales process. This includes responding to requests for proposals (RFPs), conducting site tours as needed to showcasing the venue, and converting inquiries into confirmed bookings, particularly within the social event market. The ability to upsell additional services and maintain close communication with all stakeholders is essential in this role.

The ideal candidate will have excellent organizational and communication skills, a friendly and proactive attitude, and the capacity to make thoughtful decisions in a fast-paced environment. Job Duties

  • go above & beyond to ensure the needs of each special events guest are met, communicating all requests from host to ensure all contracts are updated accordingly
  • take rfp’s and calls for social events, converting them to closed "won" business
  • conduct site tours as needed
  • ensure accurate and prompt distribution of all paperwork for "pop up parties" working through management team to ensure they are staffed to support
  • provide administrative support to the sales department including follow up on calls/emails/tasks with event host after the sale is "closed won", communicating to operations any changes to beos or updated signed contracts
  • follow up on ar’s, collect payment information, and close out any remaining balances
  • submit check requests/invoices as needed
  • ensure operations has the most up-to-date beo for each event
  • offer "upsell" opportunities to event hosts after sale is "closed won"
