Job Description

The role of Event Coordinator at the Detroit Sports Commission is a full-time position based in Detroit, Michigan, operating on a hybrid schedule with two days remote and three days in-office work. The Event Coordinator plays a crucial role in supporting the planning and execution of DSC-hosted and owned events. This position provides essential administrative, clerical, sales, and event staffing assistance for special projects, acting as a vital liaison between the DSC and event operators. The coordinator will engage with internal staff, clients, prospective clients, vendors, members, and volunteers. Responsibilities include on-site event support, volunteer coordination, client relationship management, and facilitating communication between all involved parties. The role demands proficiency in managing customer relationship management systems, generating proposals, responding to requests for information, organizing site inspections, and contributing to the Commission's strategic goals.

Job Requirements

  • Bachelor's degree or equivalent experience
  • Minimum 1 year experience in event support or coordination
  • Valid unrestricted Michigan driver’s license
  • Ability to lift, push, or carry up to 25 lbs occasionally
  • Availability to work weekends and outside normal hours as needed
  • Proficient in Microsoft Office Suite
  • Demonstrated ability to manage multiple priorities
  • Excellent communication skills in English
  • Ability to work in both remote and office environments

  • Willingness to travel for site inspections and events

Job Qualifications

  • Bachelor's degree or commensurate experience
  • 1-3 years of experience working in an event coordinator role within an organization
  • Experience in event support or coordination within college athletic department, sports team, governing body, or similar organization
  • Knowledge of sports facilities and local sports organizations
  • Familiarity with the hospitality industry, Detroit metro area, and tourism attractions
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint
  • Intermediate proficiency in CRM and Empowerment databases
  • Ability to coordinate multiple clerical tasks and support sales processes
  • Ability to work effectively both remotely and in-person
  • Strong organizational, prioritizing and analytical skills
  • Team-oriented with a passion for sports

Job Duties

  • Provide event support duties at the direction of Senior Event Manager as assigned
  • Provide support for volunteer efforts as required
  • Work on-site at events to support staffing and client needs as assigned
  • Enter leads into the system and follow-up with hotels/partners to ensure timely responses to RFPs
  • Assist in creating proposals, bids, sales presentations and providing research as requested
  • Organize site inspections with Senior Event Manager and Executive Director and participate in site tours as requested
  • Communicate and follow up with partners as required
  • Assist in responding to requests for information and assistance from both staff and outside constituents to fulfill annual and strategic sales goals
  • Assist in various activities including maintenance of databases, distribution of leads, correspondence, staffing needs for special projects, preparation of bid books, site inspections, special events, and other necessary staff support functions
  • Participate in weekly DSC staff meetings
  • Navigate CRM and Empowerment databases with intermediate level proficiency
  • Partner with Visit Detroit to embed diversity, equity, and inclusion into company culture and operations
  • Proofread, format, and prepare correspondence
  • Assist in copying and printing jobs for signage and related need
  • Assemble packages for event participants, organizers, attendees, and others as needed
  • Provide overall support to Detroit Sports Commission
  • Provide secondary event support to Visit Detroit as needed
  • Actively serve on a Strategic Planning Committee
