Within this vibrant setting, the role of the Event Coordinator holds significant importance. The Event Coordinator is entrusted with the responsibility of managing small to medium-sized internal events and group functions with precision and a guest satisfaction focus. The types of events managed range from concerts, holidays, and corporate retreats to family gatherings and other private group events. The position demands a detail-oriented and highly organized individual who embraces a hospitality mindset and collaborates effectively with multiple internal and external stakeholders throughout the event management lifecycle.
This salaried position involves working closely with Event Managers for larger events and requires availability during weekends, holidays, and nights to ensure seamless onsite execution. Responsibilities span the entire spectrum of event management—from planning, logistics coordination, and execution to billing and post-event reporting. Coordination covers several logistical elements including room blocks, dining, activities, meetings, and special guest needs, all within budgetary constraints. The Event Coordinator acts as a critical liaison for guests, vendors, group planners, and internal teams, managing communications and ensuring requirements are met promptly and accurately.
Proficiency in various software tools such as Microsoft Office suite and hospitality-focused platforms like Opera and Active Networks bolsters the efficiency and accuracy of event documentation and reporting. Fundamental accounting knowledge supports financial tracking by enabling the coordinator to prepare and send invoices and maintain detailed financial records to audit event profitability. The role also includes marketing collaboration to promote internal events and generate bookings, highlighting the importance of communication skills and sales acumen.
Physical demands include primarily desk and computer-based work complemented by on-property presence to oversee event setups and manage logistical challenges, occasionally requiring manual handling of décor and furniture. Job Requirements
- College degree or equivalent experience in event coordination preferred
- Hospitality industry experience required
- Proficiency in Microsoft Windows, Word, Excel, PowerPoint, Outlook
- Experience with Opera, Active Networks, and Open Table preferred
- Excellent verbal and written communication skills
- Knowledge of basic accounting principles
- Ability to make sound business decisions
- Ability to manage multiple projects
- Physical ability to sit for long periods, work extensively on computer and phone, and manage some physical demands on property
- Ability to safely operate a company vehicle or golf cart
- Willingness to work weekends, holidays, and nights as needed
- Ability to comply with all company policies and procedures
- Ability to work well with other team members, managers, and guests
Job Qualifications
- College degree or equivalent experience in event coordination preferred
- Hospitality industry experience required

Job Duties
- Manages internal events and/or groups, typically small to medium in size
- Supports Event Managers for larger programs
- Works weekends, holidays, and nights throughout the year as necessary to assist with onsite programs
- Manages all program logistics through the planning process, execution, and billing
- Acts as a primary contact for guest personalities, vendors, group planners, and internal department heads, both in planning and on-site
- Arranges travel, logistics, and any other necessary details for internal event personalities
- Creates resumes, rooming lists, transportation manifests, and activity lists
- Communicates program requirements and logistics to all operational staff
- Creates and sends final invoices for group billing, and provides backups for disputed items
- Executes internal events within the guidelines of the budget
- Works with Marketing and Reservations teams to drive bookings for internal events
- Crafts experiences for groups that will create a memorable program and work towards revenue goals
- Creates and maintains various reports for groups and internal events to track profitability, expenses, and revenue
