WOLFpak is a dynamic family-owned backpack brand that was established in Southern California in 2020. Starting from a small garage operation, the company has rapidly evolved over the past four years into a globally recognized and respected brand. WOLFpak is currently hiring a full-time Event Coordinator & Manager specializing in Experiential and Field Activation to work on-site at their Costa Mesa location. This role provides a fantastic opportunity for a highly organized and passionate individual to lead the planning and execution of impactful experiential programs and field activations. The Event Coordinator & Manager will helm a variety of events including retail pop-ups, product sampling, demonstrations, community activations, trade shows, campus activations, and festivals. This role is integral to enhancing brand visibility and customer engagement through memorable, hands-on experiences. It requires coordination with multiple departments to ensure that activations align strategically with product launches and overarching marketing objectives.
Key responsibilities include recruiting and managing teams of brand ambassadors and on-site leads, devising detailed run-of-show plans, and overseeing logistics such as site permits, shipping, equipment setup and teardown. Additionally, this position involves vendor coordination, negotiating venue contracts, managing audio-visual and technical support, and partnering with third-party providers. Budget development and financial oversight are essential as the manager must track expenditures and maintain cost effectiveness. The role extends to supervising sales technology integrations like POS and live-commerce during events when applicable. Throughout each event, the manager ensures alignment with brand standards, briefs creative and marketing teams on specific needs, and closely monitors key performance indicators such as leads generated, sales, and event engagement. Post-event analysis and optimization recommendations are also critical parts of this position.
The ideal candidate will have at least two years of experience in consumer brand events or experiential marketing, demonstrated ability to lead brand ambassador teams, and strong vendor and logistical management skills. They should be comfortable with onsite, hands-on work and attending events that may require weekend or evening commitments. Familiarity with point-of-sale systems and mobile selling technologies will be advantageous. Passion for fitness and athletic product sectors is a plus, reflecting the active lifestyle that WOLFpak backpacks support. Job Requirements
- Bachelor's degree preferred
- Minimum 2 years event coordination or field activation experience
- Proven ability to manage teams effectively
- Strong vendor negotiation skills
- Excellent time management and multitasking abilities
- Ability to handle travel and flexible work hours including weekends
- Proficiency with event management software and MS Office
- Excellent interpersonal and communication skills
- Ability to work onsite in Costa Mesa, CA
- Legal authorization to work in the U.S. without sponsorship
Job Qualifications
- 2+ years experience planning and executing consumer brand events, experiential marketing, or field activation programs in-house or agency
- Demonstrated experience recruiting, training, and managing brand ambassador or field staff teams
- Strong logistical and vendor-management skills including experience with permits, audio-visual, shipping, and on-site operations
- Budgeting and P&L awareness for events and activations
- Excellent communication, organizational, and problem-solving skills
- Ability to manage multiple events and timelines
- Comfortable with hands-on, on-site work and occasional weekend or evening events
- Familiarity with POS systems, mobile selling, or live-commerce integrations is a plus
- Passion for fitness or athletic products is a plus
- Authorized to work in the U.S. without sponsorship
Job Duties
