Lenox Advisors is currently seeking an experienced and highly organized Event Coordinator to join their dynamic team. This role is pivotal in bringing complex and important events to life, from corporate meetings and training sessions to company dinners and conferences. The ideal candidate will have a passion for creating exceptional event experiences and the ability to handle multiple aspects of event planning independently while working collaboratively with various stakeholders. The Event Coordinator will take ownership of event concepts, conduct research and site visits, develop detailed timelines and run-of-show documents, and manage both logistics and on-site execution to ensure flawless delivery.

This is a hybrid position based in Stamford, CT or New York, NY, requiring regular travel between both offices to coordinate with key leaders and event stakeholders. The role demands at least three days per week working on-site, alongside flexibility to support events outside of regular business hours. Travel within the NYC and tri-state area is approximately 25% of the time. The Event Coordinator will be responsible for developing and managing strong vendor and venue relationships, negotiating contracts, and ensuring all services adhere to budgetary constraints and event objectives. The candidate will also manage event registration, RSVP tracking, and attendee communications while partnering closely with marketing and executive leadership teams.

Candidates with five or more years of relevant experience, particularly in corporate, financial services, or professional services environments, are highly preferred. The role requires strong organizational, communication, and problem-solving skills, and the ability to collaborate effectively with senior executives and external partners. Proficiency in Microsoft Office and various event management platforms is expected, and a bachelor’s degree in Marketing, Communications, Hospitality, or a related field is preferred.

Job Duties

  • Coordinate end-to-end planning of events including conferences training sessions corporate meetings and dinners
  • develop timelines run-of-show documents and detailed logistical plans for each event
  • lead on-site execution including setup vendor coordination and issue resolution to ensure excellent delivery
  • source evaluate and manage relationships with venues and vendors such as AV catering and travel
  • negotiate contracts in conjunction with manager and COO and ensure all services align with budget and event objectives
  • coordinate site visits and oversee logistics such as audiovisual needs and space planning in coordination with Lenox IT and the EA team
  • manage event registration RSVP tracking and attendee communications together with the marketing team
  • prepare registration reports and maintain accurate participant data including tracking RSVPs and headcount for events
  • coordinate event communications such as invitations registration follow ups and Know Before You Go emails
  • partner with executive leadership executive assistants event host marketing and external partners to align on event goals and messaging
  • serve as a central point of contact across internal teams and vendors
  • collaborate with marketing on event materials branding and communications
  • support event budget creation and track expenses to ensure cost efficiency
  • process invoices and vendor payments
  • deliver post-event reporting including attendance feedback and recommendations for improvement
  • oversee onsite execution including registration vendor coordination and troubleshooting and coordinate with the event management vendor if one is hired
  • ensure all event elements run according to plan and meet Lenox quality standards
  • provide a high-touch professional experience for advisors clients and partners
  • travel in the NYC and tri-state area required approximately 25 percent of the time
  • support events that sometimes fall outside of normal business hours
