The Campus Visit and Event Coordinator at UVU plays a critical role in shaping the initial encounter prospective students and their families have with the university. This is a dynamic, full-time position responsible for leading the planning, coordination, and execution of major recruitment events as well as overseeing the daily operations of the UVU Welcome Center. The individual in this role is charged with creating engaging and memorable experiences that introduce and connect visitors to UVU’s mission, values, and academic offerings. Through collaboration with admissions, marketing teams, campus partners, and student leaders, the Campus Visit and Event Coordinator directly supports university enrollment growth and student achievement objectives.

The position demands a blend of creativity, organizational excellence, and leadership prowess. The Coordinator will manage high-profile events such as open houses, conferences, banquets, and various recruitment-driven activities that attract thousands of visitors annually. Responsibilities include coordinating event logistics, securing venues, managing catering and décor, handling technology needs, and ensuring that all aspects align with UVU’s brand identity. An essential part of the role is supervising the Tour Coordinator and Welcome Center front desk staff to maintain outstanding customer service standards and operational efficiency.

Marketing campaigns play a significant role in this position, with the Coordinator working alongside the Admissions team to develop and implement promotional strategies geared toward increasing event attendance and enhancing campus visit experiences. Social media, email marketing, text communications, and print media are all utilized to maximize outreach effectiveness. Budget management is also a core responsibility, as the Coordinator oversees expense tracking, budget preparation, and financial reporting to ensure cost-effective operations.

Post-event evaluation and reporting are integral tasks, where the Coordinator collects and analyzes attendance data, guest feedback, and other success metrics to refine future visits and recruitment events. This role suits a proactive, self-motivated individual who can manage multiple projects and deadlines, solve problems independently, and demonstrate flexibility with scheduling, including evening and weekend events. Job Requirements

  • Associate degree or equivalent experience
  • Minimum two years related experience in event planning, hospitality, or customer service
  • Proficiency in office software

  • Experience in supervision preferred
  • Familiarity with event and visitor management software preferred

Job Qualifications

  • Associate degree or two years of related experience

  • Bachelor’s degree in a related field preferred
  • Two or more years in event coordination or higher education recruitment preferred
  • Experience supervising staff or students and using event/CRM systems preferred
  • Understanding of event planning and coordination best practices
  • Familiarity with campus visit programming and visitor services
  • Knowledge of marketing channels including social media, email marketing, and print media
  • Knowledge of budget development, expense tracking, and financial reporting
  • Knowledge of methods for collecting, analyzing, and reporting event and visitor data
  • Strong organizational skills and attention to detail
  • Excellent verbal and written communication skills

Job Duties

  • Plan, coordinate, and execute admissions recruitment events such as open houses, conferences, and banquets
  • Manage event logistics including venues, catering, décor, technology, and stakeholder coordination
  • Oversee event staff, volunteers, and student ambassadors to ensure smooth execution and alignment with UVU’s brand and recruitment goals
  • Provide direct supervision to the Tour Coordinator and oversight of Welcome Center front desk operations
  • Ensure guest experience standards are met through scheduling, customer service training, and operational efficiency
  • Serve as a point of escalation for guest or tour-related issues
  • Collaborate with the Admissions team to develop and implement marketing campaigns promoting admissions events and experiences
  • Monitor and adjust campaign performance for maximum impact
  • Create and manage budgets for events and Welcome Center operations, track expenses, and prepare financial reports
  • Conduct post-event and guest experience evaluations, analyze data, and prepare reports on attendance, feedback, and success metrics
  • Recommend and implement improvements based on evaluation data
  • Perform other job-related duties as assigned
