Bethany Children's Health Center is a pioneering institution specializing in pediatric rehabilitation and complex care for children from infancy through young adulthood. The Event Coordinator position plays a vital role in strengthening and managing Bethany Children’s Health Center's event landscape. This full-time role acts as the central hub for coordinating events across various departments including Corporate Communications, Foundation, and Community Engagement. The position is crucial in planning, communication, and execution, ensuring that all events align with institutional goals and are delivered with professionalism and consistency. Responsibilities include leading planning sessions, developing detailed timelines, assigning roles, and maintaining stakeholder alignment throughout the process. The Event Coordinator provides creative and logistical support, advises on event feasibility, and collaborates closely with the Hospitality team to ensure aesthetic and environmental quality while leaving catering and booking logistics in their purview. The role also involves supporting major events with signage, vendor communication, and cross-departmental coordination to enhance the overall event quality.

Additionally, the Event Coordinator is instrumental in supporting internal department events by keeping communications informed, coordinating parking and signage with Security, and providing marketing resources to promote events effectively. Communication is central to this role, which includes working with writers to craft messaging and ensuring timely delivery of communications while aligning diverse teams—from IT to Foundation—around event details. The Event Coordinator also contributes to sponsorship efforts by engaging potential partners and ensuring sponsor benefits are realized. Overall, the position not only supports successful event outcomes but also fosters richer employee engagement and elevated experiences for donors and the community, making it a core component of Bethany Children’s Health Center's outreach and engagement strategy.

Job Requirements

  • Bachelor's degree in communications, marketing, hospitality, public relations, event management, or related field
  • Experience coordinating events or projects involving multiple stakeholders
  • Experience working within communications, marketing, or hospitality teams is preferred
  • Experience in healthcare, nonprofit, or community engagement is preferred
  • None required

Job Duties

  • Serve as the central point of coordination for events across Communications, Foundation, and Community Engagement
  • Lead planning meetings, create timelines, assign responsibilities, and ensure all stakeholders remain aligned
  • Advise teams on event feasibility, creative approaches, and resource needs
  • Support major events by coordinating internal signage, run-of-show, vendor communication, and cross-departmental alignment
  • Collaborate with the Hospitality team regarding room aesthetics, signage, and general environment while leaving catering, booking, and room logistics under Hospitality
  • Stay informed about internal events led by departments such as Education, Therapy, and ARFAC
  • Ensure Communications is aware of events requiring staff communications, family notifications, marketing needs, or photography
  • Coordinate with Security for parking communication and signage
  • Provide teams with marketing kits, templates, and creative guidance to help them promote their own events effectively
  • Work directly with the Communications writer to draft internal and external messaging related to events
  • Prepare communication timelines and ensure all messaging is delivered on schedule
  • Ensure alignment across Communications, Marketing, Security, IT, Hospitality, and Foundation teams regarding event details
  • Support Community Engagement team in procuring event sponsorships by identifying potential partners, coordinating with Communications on promotion, and working with host departments to identify contacts
  • Initiate sponsorship conversations with potential partners as needed
  • Ensure sponsor benefits and recognition needs are communicated and fulfilled
  • Other duties as assigned
