The available role is for an Event Coordinator, a pivotal position responsible for overseeing all operational aspects of third-party events hosted at the venue. This includes everything from concerts and sports games to non-ticketed private and special events. The Event Coordinator is the primary liaison for all assigned events, ensuring that all logistical and operational requirements are met efficiently and effectively. This role requires extensive coordination across multiple departments to guarantee the smooth execution of events from planning stages through to completion.
The Event Coordinator will be tasked with preparing event diagrams, instructions, and setup requirements, distributing these documents to the appropriate staff members, and ensuring clear communication regarding any changes during the event lifecycle. Working closely with vendors, the coordinator will manage event-related matters, including the estimation of costs, final cost tracking, and submitting invoices after event completion. Additionally, the role involves preparing detailed event recaps to help inform future planning and improve processes.
This position demands excellent organizational skills, attention to detail, and a proactive approach to problem-solving. The ideal candidate will be adept at multitasking in a fast-paced environment while maintaining professionalism and strong communication abilities. Job Duties
- Coordinate concerts and family shows, Rockets and Comets games including pregame events and gameday meetings, nonticketed private and special events and internal events
- primary liaison to advance all assigned events by preparing diagrams, instructions, set-up requirements and supporting documentation and distributing to appropriate staff
- communicate changes before and during events
- serve as liaison with vendors on event-related matters
- prepare event estimates and manage all closeout procedures including final cost tracking and submitting event invoices
- complete event recap of past events noting items of importance for future events
