Our client, a well-established membership organization involved in association management, is seeking a dedicated Event Coordinator to join their dynamic team. The role is designed to support a wide professional network across North America by delivering outstanding member experiences through tailored educational programming, impactful networking events, and active community engagement. This hybrid position is based in downtown Chicago, requiring in-office presence three days per week with flexibility to work remotely on the remaining days. As an Event Coordinator, you will play a crucial role in facilitating seamless event execution from conception through completion. Your responsibilities will involve close collaboration with volunteer leaders, internal teams, and external stakeholders to ensure every event aligns with the organization's objectives and delivers exceptional value to members. You will manage approximately 30 in-person events annually, coordinating all logistical aspects such as registration, vendor management, communications, and on-site support. Additionally, leveraging your analytical skills, you will track key performance indicators and participant feedback to inform continuous improvements and help refine best practices in event operations.
This position requires a candidate who is highly organized, proactive, and excels in multitasking while maintaining a customer-first approach. With strong communication and relationship-building skills, you will act as the primary liaison for volunteer leaders, sponsors, speakers, and participants, fostering engagement and retention through exceptional service. Successful candidates will possess experience in event planning, project coordination, or association management and be proficient with tools like Microsoft Office, Cvent, Monday.com, and HubSpot. The role includes some travel, typically 2-3 days per trip, up to 10 times per year, occasionally including evenings and weekends.

Job Requirements
- Bachelor's degree or equivalent experience
- 2-3 years of relevant experience in event planning project coordination or association management
- Proficiency in Microsoft Office Suite
- Ability to manage multiple projects and deadlines
- Excellent communication and interpersonal skills
- Willingness to travel up to 10 times per year including occasional evenings and weekends
- Ability to work both independently and as part of a collaborative team
- Familiarity with event management software and project management tools preferred
Job Qualifications
- 2-3 years of experience in event planning project coordination association management customer success or a related field
- Experience supporting in-person events including logistics marketing and program development
- Strong project management and organizational skills with the ability to manage multiple priorities simultaneously
- Customer-first mindset with exceptional relationship-building abilities
- Excellent written and verbal communication skills
- Proficiency with Microsoft Office Suite
- Experience with event management and project management platforms such as Cvent Monday.com and HubSpot preferred
- Ability to work independently while collaborating effectively across teams
Job Duties
- Coordinate and execute approximately 30 in-person events annually ensuring seamless delivery and alignment with organizational objectives
- Partner with volunteer leaders and internal teams to develop engaging educational programs and event agendas
- Collaborate with marketing teams to increase participation through targeted outreach strategies and creative engagement initiatives
- Serve as the primary point of contact for volunteers speakers sponsors and other external stakeholders
- Build and maintain strong relationships with volunteer leaders to support engagement retention and recruitment efforts
- Oversee event logistics including registration management communications timelines vendor coordination and onsite support
- Track and report on key performance indicators including attendance satisfaction scores sponsor engagement and budget performance
- Analyze event data and participant feedback to identify opportunities for continuous improvement
- Collaborate with internal teams to establish and maintain best practices for event operations and stakeholder engagement
- Recommend and implement process improvements to enhance efficiency consistency and scalability
