Job Description

The Austin Hatcher Foundation for Pediatric Cancer is a nonprofit organization dedicated to providing comprehensive and lifelong support to pediatric cancer patients and their families. Located in Chattanooga, TN, the Foundation operates through its Education Advancement Center and offers services related to mental health, behavioral support, education, and social programs. These crucial services are provided completely free of charge, funded entirely by donations from compassionate supporters and partners in the community. The Foundation's mission focuses on helping families cope with cancer in the present and thrive in the future, demonstrating an unwavering commitment to improving the quality of life for children diagnosed with cancer and their loved ones. This commitment drives every program, event, and initiative organized by the Foundation.

The role of Event Coordinator at the Austin Hatcher Foundation plays a pivotal role in advancing the Foundation’s mission by ensuring operational excellence and driving strategic event planning initiatives. This full-time, hybrid position reports to the Director of Development and is based at the Foundation’s headquarters in Chattanooga. The Event Coordinator will be responsible for planning, coordinating, executing, and implementing all fundraising events, ranging from large signature galas to community fundraisers and smaller cultivation activities. Though not responsible for the Foundation's Motorsports events or Hit It for Hatch programs, this role involves some crossover collaboration.

In this capacity, the Event Coordinator serves as an enthusiastic ambassador for the Foundation, representing its mission to the wider community while fostering strong relationships with local businesses, civic groups, corporate partners, and community organizations. The position demands exceptional organizational, communication, and writing skills coupled with the ability to manage multiple complex tasks simultaneously. The Event Coordinator will lead all aspects of event production including logistics, venue and vendor management, registration, volunteer coordination, sponsorship fulfillment, on-site management, and post-event reporting. They will also handle budgeting, ensuring alignment with the Foundation’s revenue goals and maintain accurate records using the Bloomerang CRM software.

Crucially, the Event Coordinator collaborates cross-departmentally, working closely with the Development, Marketing, and Program teams to ensure cohesive messaging, branding, and donor engagement strategies. Coordinating volunteers alongside the Volunteer Services Coordinator is another fundamental aspect of this role, providing clear direction and facilitating successful event staffing. Moreover, the Event Coordinator is expected to proactively innovate by identifying new event concepts and partnership opportunities to broaden the Foundation’s community engagement and donor base.

This role requires a dedicated individual who is passionate about the Foundation’s mission and committed to making a tangible difference in the lives of children and families affected by pediatric cancer. The successful candidate must also possess the ability to work well under pressure, uphold professionalism and kindness in sensitive situations, and effectively manage relationships at all levels of interaction. The position involves occasional regional travel, evening and weekend hours according to the event schedule, and requires a valid driver’s license. A thorough background check is mandatory, reflecting the Foundation’s commitment to safety and integrity.

Job Duties

  • Serve as a visible and enthusiastic ambassador for the Foundation
  • Advocate for families navigating pediatric cancer through community engagement
  • Plan and execute fundraising events to meet revenue goals
  • Manage event logistics including registration, venue, vendors, sponsorships, volunteers, onsite execution, and post-event reporting
  • Build and maintain positive community and corporate partnerships
  • Collaborate with Volunteer Services to recruit and manage event volunteers
  • Develop and manage event budgets and report financial outcomes
  • Maintain accurate data within CRM system
  • Represent the Foundation at community functions and media appearances
