The Event Coordinator position within the CCIS Undergraduate Studies department is a vital role responsible for the planning, execution, and follow-up of both on-campus and off-campus events tailored to benefit the college community. These events range from student social gatherings and graduation receptions to family weekend activities and honors day celebrations, all designed to foster community spirit and celebrate student achievements. The role demands meticulous attention to detail and a proactive approach to managing multiple projects simultaneously, ensuring every event runs smoothly and meets its objectives.
As an Event Coordinator, the incumbent will manage all aspects of event implementation including creating invitations, selecting appropriate venues, designing seating arrangements, and negotiating contracts with vendors such as florists, caterers, and event space staff. This role also entails supervising on-site contract staff and student workers, ensuring efficient coordination during events. The Event Coordinator must engage effectively with a broad spectrum of audiences including faculty, staff, students, prospective students, campus partners, donors, and parents, requiring excellent interpersonal and communication skills.
This position is salaried with a competitive pay grade starting at $44,200 up to a midpoint of $55,300 (Salaried E6) and offers a standard work schedule from Monday to Friday, 8:00 am to 5:00 pm, with occasional after-hours commitments to support event schedules. The ideal candidate will bring a blend of professionalism, creativity, and organizational expertise alongside project and timeline management skills essential for the successful delivery of diverse events.
In addition to event coordination expertise, the role requires strong budget management capabilities and the ability to thrive under pressure while meeting tight deadlines. The Event Coordinator is also expected to be a self-starter who works independently but can collaborate effectively within a team, supporting the College’s strategic goals and contributing to the student and community experience through innovative event planning and execution. Proficiency with Microsoft Office and familiarity with university systems such as Concur, Banner, and procurement processes is preferred to facilitate efficient operational management.
