Allegheny Center Alliance Church (ACAC) is a large and vibrant church located in the heart of Pittsburgh's Northside. With a history spanning over 130 years, ACAC has established itself as a beacon of hope and transformation in the city, dedicated to its mission of "following Jesus in diverse community." As part of the Christian and Missionary Alliance (C&MA), ACAC remains deeply rooted in both the Gospel and the urban neighborhood it serves. The church welcomes over 2,000 attendees, offering a rich variety of ministry, community events, outreach programs, and care services operating throughout the week. The role of Event Coordinator at ACAC is a vital, part-time, hourly position based in Pittsburgh, PA. Reporting directly to the Experience Director, this role involves the logistical and operational management of events and office administration related to ACAC's campus facilities. The Event Coordinator is primarily responsible for facilitating a welcoming and hospitable environment across ACAC's venues, which serve as hubs for ministry and community activities. The position requires approximately 20 hours of work weekly, with flexible days and hours depending on scheduled events. This versatility allows the coordinator to adapt to the dynamic and busy nature of event scheduling and execution in a community-centered environment.

As part of the experience team, the Event Coordinator manages the booking of events through ACAC's event scheduler software (eSpace), coordinating closely with vendors, kitchen personnel, facilities staff, and other relevant departments to ensure smooth operations. Responsibilities include approving facility resource requests such as space, parking, and equipment, resolving scheduling conflicts, leading the monthly calendar meetings, and providing ongoing training for eSpace users. The role also encompasses administrative duties like managing office and first aid supplies, assisting with financial reporting, invoicing, and contracts in collaboration with the finance team and kitchen management.

Customer service and vendor management are critical elements of the position, requiring the coordinator to maintain strong, collaborative relationships with various stakeholders including production teams, custodians, security, communications, and receptionists. The Event Coordinator expertly crafts detailed event timelines, manages budgets by tracking expenses and processing payments, and ensures all communications with customers clarify plans and meet event requirements. On event days, the coordinator often serves as the on-site lead, overseeing setup and event flow, troubleshooting in real-time, and ensuring every detail aligns with client expectations.

Job Qualifications

  • 2-4 years of hands-on event planning or similar experience
  • Have a personal relationship with Jesus Christ
  • Model spiritual leadership and lifestyle consistent with the Bible and ACAC beliefs
  • Proficient in MS Word, Excel, Outlook
  • Flexibility in weekly schedule
  • Preferred: 4 years of event planning
  • Associate's degree in business, accounting, or marketing

Job Duties

  • Assist in creating a loving and welcoming presence for all who enter ACAC campus facilities
  • Administer event scheduler software (eSpace)
  • Approve all campus facility resource use requests including space, parking, and equipment
  • Coordinate multiple ministry events and resolve scheduling conflicts
  • Lead monthly calendar keeper meetings
  • Provide initial and ongoing training for eSpace users
  • Assist in creating and updating facility rental fee documents
  • Ensure campus and rooms are prepared for events
  • Schedule HVAC and other systems according to ministry needs
  • Maintain and order office and first aid supplies
  • Coordinate community event invoicing and contracts with finance and kitchen management
  • Manage relationships with kitchen, production, facilities, custodians, security, communications, and reception
  • Create detailed event timelines and room setups
  • Calculate costs, track expenses, and process payments within budget
  • Communicate effectively with customers to finalize plans
  • Arrive on-site for larger events to oversee setup, troubleshoot, and ensure smooth execution
