The Event Coordinator at Greenacres Foundation plays a vital role in expanding the foundation's mission through dynamic, well-executed events. This position is ideal for professionals who enjoy transforming exciting ideas into tangible, organized experiences that seamlessly connect guests to agriculture, arts, equine, and environmental education. The Event Coordinator collaborates across departments to help conceptualize, plan, and execute a broad spectrum of events—ranging from community gatherings, concerts, farm-to-table dinners, to fundraising events and venue rentals. This role demands flexibility, as it involves supporting event logistics from inception through completion, partnering with the marketing team for promotion, and providing hands-on onsite event support. The foundation seeks someone who thrives in a fast-paced environment, values thorough teamwork, and is devoted to crafting meaningful experiences that enrich the community and partners alike. Job Duties

  • Collaborate with staff across departments to develop event ideas aligned with mission and community goals
  • support Events Managers with event planning and execution
  • assist in creating event timelines, task lists, and run-of-show documents
  • coordinate logistics including vendor communication, documentation, and ordering supplies
  • partner with Marketing to create event landing pages and promotional materials
  • provide event schedules and content for marketing support
  • assist with on-site event setup, room preparation, signage, and breakdown
  • coordinate vendors, rentals, catering, and entertainment
  • serve as on-site support during events including troubleshooting
  • ensure event spaces meet brand and quality standards
  • track event inventory and supplies
  • support client communication as directed by Event Managers
  • provide exceptional customer service to rental clients, vendors, and attendees
  • represent Greenacres professionally
  • help ensure events reflect organization’s mission and integrity
