The role of Catering & Conference Services Coordinator at Four Seasons caters to this mission by providing vital administrative support to Catering and Conference Service Managers. This position involves supporting the coordination and management of catering and conference services, ensuring smooth operations and accurate communication through meticulous handling of contracts, event orders, and general office management. The coordinator manages multiple responsibilities, including handling inbound calls with professionalism, generating detailed weekly and monthly reports on catering sales and function room occupancy, and maintaining essential data within specialized software systems such as Delphi, Crystal Reports, Opera, and Lotus Notes.

The successful candidate will ensure accurate creation and distribution of banquet event orders, contracts, daily event schedules, and other documentation necessary for seamless event execution. They also oversee profile management, reservation adjustments, and assist in pre-conference meetings, adhering strictly to the hotel’s policies and procedures. Additionally, this role entails coordinating with various hotel departments to manage group rooming lists, VIP guest amenities, and other pre-arrival arrangements, which requires effective communication and strong organizational skills.

Job Requirements

  • Bachelor's degree in hospitality management, business administration, or related area preferred
  • relevant experience in hotel operations or conference services
  • proficiency in English language in reading, writing, and verbal communication
  • exceptional customer care skills
  • excellent telephone skills
  • proficient in MS Publisher, Illustrator, Word, Windows, Excel, Access
  • proficiency in Opera and Delphi hotel property management systems
  • ability to multitask and prioritize tasks while maintaining attention to detail
  • knowledge of food and beverage operations

Job Qualifications

Job Duties

  • Manage inbound phone calls following Four Seasons protocols
  • support extra calls for Sales & Marketing and Executive Office
  • generate weekly and monthly reports including Catering Forecast and Sales Reports
  • maintain Delphi system including menu entries and BEO operations training
  • create reports using Delphi or Market Vision
  • draft contracts, banquet event orders, daily event schedules, menus, valet vouchers, WIFI codes, and electronic correspondence
  • implement software tools such as Delphi, Crystal Reports, Opera, and Lotus Notes
  • coordinate booking transitions with Conference Services
  • supervise group rooming lists maintenance
  • manage Delphi profiles and Banquet Event Orders
  • adhere to Pre-con Policies and participate in Pre-con meetings
  • review banquet checks and final invoices for group billing and attrition
  • coordinate internal Four Seasons Meeting Program with relevant managers
  • disseminate Catering & Conference Services communications to hotel divisions
  • maintain Catering document storage both digital and hard copies
  • collaborate with divisions for group pre-arrival requirements including rooming lists, VIP amenities, and special requests
  • provide occasional support for front of house tasks
  • carry out additional duties as directed
  • support clients during management absence
  • attend meetings as assigned
