The Event Coordinator position at Blank Park Zoo offers a unique opportunity to be part of a passionate team that organizes and manages a diverse portfolio of events ranging from public festivals such as Zoo Brew and Night Eyes to private occasions including weddings, corporate outings, non-profit galas, and birthday parties. This full-time role reports to the Events Manager and involves a dynamic range of responsibilities designed to ensure seamless event execution and exceptional guest experiences. The coordinator will take charge of event promotion, managing client relations, and overseeing logistical aspects such as setup and teardown, volunteer coordination, contract management, venue tours, and payment processing.

Beyond logistical prowess, the role demands strong interpersonal skills to maintain effective communication with clients, staff, vendors, and volunteers, ensuring all stakeholders collaborate efficiently. The coordinator will assist in scheduling and managing the event calendar and actively contribute creative insights to elevate the scope and impact of events. Candidates must possess a flexible approach to their workload, excellent communication skills, and the ability to work independently while demonstrating attention to detail and follow-through. Given the varied nature of work settings, the role requires adaptability to both indoor and outdoor environments and the physical capability to handle tasks that may include lifting and moving objects up to 50 pounds.

Job Requirements

  • Minimum of two years experience in sales and event planning
  • College degree preferred in event management, public relations, communications, or related field
  • Proficient in Microsoft Office applications
  • Excellent word processing skills
  • Valid motor vehicle license

  • Ability to maintain professional demeanor in emergencies and guest interactions
  • Must be insurable to drive zoo vehicle

Job Qualifications

Job Duties

  • Coordinate the promotion and customer relations of the zoo's event portfolio
  • Assist in the execution of public events such as Zoo Brew and Night Eyes
  • Handle multiple clients simultaneously including contract creation, payment updates, and invoicing
  • Maintain strong communication with clients, staff, volunteers, vendors, and caterers
  • Manage event calendars and scheduling while communicating event needs to staff
  • Coordinate volunteer efforts and assist with setup and teardown of events
  • Complete additional duties as assigned
