The Event Planner role at VIVA is an integral position responsible for overseeing the day-to-day operations on the conference center floor. Positioned at an intermediate level, this role requires managing a range of functions such as coordinating special events, bank meetings, and conferences, while handling diverse administrative and logistical tasks that ensure seamless event execution. Operating under general supervision, the Event Planner supports senior event producers, stepping into more complex duties and serving as a backup liaison when required. This role demands proactive engagement with multiple stakeholders — including clients, internal teams, and partner departments — to ensure event spaces are appropriately booked, client expectations are met, and all technical and catering needs are fulfilled according to established standards.
Key responsibilities include managing inquiries for space availability using the Event Management System, handling logistics such as room sign creation, supply inventory management, and advance coordination for audiovisual and other event systems. The Event Planner is also responsible for creating client-specific event registration portals, tracking guest lists, and liaising with security teams to guarantee a smooth entry and exit process. In addition to these duties, the planner collects presentation materials and coordinates with the Engagement Team to ensure all digital assets are in place ahead of events. On event days, the role involves onsite support to deliver enhanced customer service, fostering a hospitable and innovative environment that elevates the client experience. Effective logistical problem solving and contract administration for hotel and ground transportation arrangements further highlight the operational scope of this role.

Job Requirements
- Bachelor’s degree in a related field preferred or commensurate specialized training
- Minimum one year of work experience in hospitality, marketing or communications
- Intermediate working knowledge and experience of audio visual equipment, setup, operation and related systems
- Proficient in Microsoft Office Suite including Word, Excel, PowerPoint and Outlook
- Ability to work independently and as part of a team
- Strong written and oral communication skills
- Strong interpersonal skills with a high degree of professionalism
- Demonstrated critical thinking and decision-making abilities

Job Duties
- Proactively support the department and senior event producers by answering phones, checking shared email box, and handling inquiries for space and availability in the Event Management System
- Distribute and respond to inquiries and track feedback comments for leadership
- Coordinate and distribute logistical reports, create daily room signs, manage supply inventory and order supplies when necessary
- Assist senior event producers with logistical details for complex events and serve as backup liaison when needed
- Coordinate pre-event AV and system testing to ensure reliability and client comfort
- Create event registration portals for clients, monitor reports, and communicate guest lists and entry requirements to the Law Enforcement Unit
- Collect presentation materials and digital assets and assist with distribution to appropriate locations in advance of meetings
- Provide logistical support to ensure client requests are met including room setup, AV technology, and catering according to guidelines
- Provide onsite support on event day to deliver excellent customer service and foster an enhanced client experience
- Liaise proactively with partner departments to resolve logistical issues in advance or as they arise
- Administer hotel and ground transportation contracts including availability, rates, cut-off dates, and rooming lists
