The coordinator is not only responsible for administrative execution but also for contributing to the growth of the sales portfolio by helping convert inquiries and requests for proposals into confirmed bookings.

The Event Coordinator must demonstrate a positive and proactive "You Got It" attitude, excellent communication skills, strong organizational capabilities, and the ability to analyze data to aid decision-making. Familiarity with English language communication is essential as the role requires clear interaction with guests, the sales team, operational staff, and management. This position also involves conducting site tours, managing paperwork meticulously, and ensuring that all event contracts and banquet event orders (BEO) are updated and shared promptly with the relevant teams. Upselling opportunities to enhance event services after bookings are also part of the role, requiring a sales-oriented mindset.

Due to the nature of the hospitality and event industry, the Event Coordinator should be flexible, ready to step beyond assigned duties, and able to identify and meet needs spontaneously. Job Duties

  • Go above and beyond to ensure the needs of each special events guest are met, communicating all requests from host to ensure all contracts are updated accordingly
  • Take RFP’s and calls for social events, converting them to closed won business
  • Conduct site tours as needed
  • Ensure accurate and prompt distribution of all paperwork for pop up parties working through management team to ensure they are staffed to support
  • Provide administrative support to the sales department including follow up on calls, emails, tasks with event host after the sale is closed won, communicating to operations any changes to BEOs or updated signed contracts
  • Follow up on AR’s, collect payment information, and close out any remaining balances
  • Submit check requests, invoices as needed
  • Ensure operations has the most up-to-date BEO for each event
  • Offer upsell opportunities to event hosts after sale is closed won
