Job Description

Salon Service Group (SSG) is a renowned leader in the professional salon and cosmetology education industry, providing innovative and comprehensive solutions to support beauty professionals across the country. SSG is currently seeking a full-time Events Coordinator to join its Education Department, reporting directly to the Education Manager. This role plays a critical part in managing and executing a variety of internal and external events and educational classes. The Events Coordinator will oversee the full lifecycle of each event, ensuring seamless coordination and a superior experience for attendees ranging from small gatherings to larger events of up to 200 participants. This position demands flexibility, as work hours may extend into evenings and weekends based on event schedules.

The Events Coordinator will be entrusted with end-to-end event planning and execution responsibilities. These include managing logistical details such as venue selections, catering orders, audiovisual support, and travel arrangements for staff and educators. Precision and attention to detail are paramount in preparing event overviews, playbooks, timelines, and budgets. The role requires consistent communication with internal teams and external stakeholders, including manufacturers and vendors, to deliver events that uphold SSG's brand standards, safety requirements, and operational protocols.

Beyond event management, the coordinator will also support the scheduling and organization of education classes. This involves processing class requests via the online portal, coordinating educator contractors, arranging materials and supplies, and facilitating virtual classes when necessary. The position supports collaboration with sales consultants and brand representatives to align class details with strategic goals.

To succeed in this role, candidates must demonstrate exceptional organizational skills, interpersonal communication, and the ability to manage multiple projects simultaneously within a dynamic office environment. Proficiency in Microsoft Office including Teams, Outlook, Word, Excel, PowerPoint, and Planner is essential, along with experience in virtual meeting platforms and event management software.

Physical demands include the ability to sit for long periods when working at the desk and the stamina to stand, walk, and lift supplies up to 30 pounds during event setups and teardowns. The position requires sound judgment to troubleshoot issues onsite swiftly and ensure both attendees and participants benefit from a polished and professional event experience.

Job Qualifications

  • Experience in event planning and coordination, with knowledge of standard industry practices
  • Experience working in an office setting with shifting priorities, constant interruptions, changing assignments, time-sensitive projects, heavy workload, and multiple projects simultaneously assigned by different staff
  • Talent to create aesthetically pleasing materials and physical surroundings for events, including space planning
  • Excellent interpersonal and communication skills, with the ability to negotiate and resolve issues positively
  • Exceptional organizational and time management skills
  • proven ability to prioritize effectively based on deadlines, complexity, and competing needs
  • Proficiency in Microsoft Office (Teams, Outlook, Word, Excel, PowerPoint, Planner)
  • Experience with virtual meetings and working with Microsoft Teams
  • Ability to collect and analyze data using spreadsheets or databases and summarize findings in written reports
  • Proven ability to make independent decisions within budget, time, and logistical constraints
  • Strong skills in planning, organizing, prioritizing, and problem-solving with the ability to reprioritize as needed using sound judgement

Job Duties

  • Manage the full lifecycle of assigned events from concept to post-event evaluation
  • Coordinate logistics such as venue selection, catering, and AV needs
  • Develop task lists, timelines, and workflows to achieve event goals
  • Create event overviews, playbooks and other planning documents
  • Select menus
  • review, and proof BEOs
  • Manage event budgets, track expenses, and support reconciliation process
  • Maintain communication with internal and external stakeholders
  • Serve as primary point of contact for participating manufacturers and vendors
  • Ensure each event delivers a polished, professional, and seamless attendee experience
  • Troubleshoot and resolve issues quickly and professionally
  • Gather and review feedback and implement improvements for future events
  • Ensure compliance with brand guidelines, safety requirements, and operational standards
  • Coordinate staff travel including hotel and flight arrangements
  • Utilize Microsoft Planner, Excel, or other event management software for efficient project management
  • Represent Salon Service Group and provide on-site support at large events, including extended hours and weekends, a minimum of 2 annually
  • Process and monitor class requests through the online portal
  • Schedule educator contractors based on classes needs
  • Secure supply lists
  • prep, pack, and ship required materials from the SSG warehouse
  • Coordinate educator travel including hotels and flights
  • Collaborate with SSG Sales Consultants and brand representatives, as needed, to confirm class details and requirements
  • Facilitate virtual classes and support presenter needs
  • Maintain organized records of class-related expenses and receipts
  • Available on weekends to support last-minute needs such as educator travel issues or class adjustments
