The Norton Museum of Art, established in 1941 by Ralph Hubbard Norton and his wife Elizabeth Calhoun Norton, stands as Florida's largest and most respected art museum. The position of Event Coordinator at the Norton Museum of Art is a vital role that supports the Event Services program. This full-time, non-exempt position involves coordinating event rental staff and liaising with external vendors to ensure exceptional service experiences for clients and donors. The salary is commensurate with experience, reflecting the importance of the position within the museum's operations.
In this role, the Event Coordinator is responsible for all aspects of day-of venue coordination and execution, managing both external and internal donor events. Reporting directly to the Director of Event Services, the coordinator works closely with assigned clients to gather all necessary event information and manages layout and flow plans for museum staff and vendors. The role demands onsite event execution, often requiring work during early mornings, late nights, weekends, evenings, and holidays.
The Event Coordinator serves as the critical onsite point of contact, ensuring smooth communication and coordination among museum staff, vendors, and clients, all while adhering to an approved production timeline. Collaboration across all museum departments is essential to create seamless event experiences for attendees and visitors. The role also involves partnering with Constellation Culinary Group's Event Manager to coordinate and review operational needs related to day-of event logistics.
Committed to the museum's community engagement goals, the Event Coordinator participates in museum operations meetings and assists in social media outreach by developing plans with the Director of Event Services to promote events and vendors on platforms such as Instagram.
Moreover, the Event Coordinator plays a key role in special events, including the planning and execution of two major fundraising events and all donor-related functions. This includes reviewing decor elements, managing vendor communications, and ensuring successful onsite event execution with all personnel, artists, and vendors aligned.
The ideal candidate will bring experience in event or catering management, preferably with exposure to museum or cultural institutions. Proficiency in Microsoft Office and excellent communication skills are essential, with additional skills in Canva, CRM systems like Altru or EMS, and a willingness to work flexible hours enhancing the candidate's fit for the role.
This role involves physical requirements such as standing for extended periods and the ability to lift and transport items up to 25 pounds. Commuting to the museum's location at 1450 South Dixie Highway, West Palm Beach, FL, is expected.

Job Duties
