The role of Event Coordinator at ICS is integral to the company’s mission of creating unforgettable events that meet the highest standards of excellence. The Event Coordinator will be responsible for assisting senior team members with important tasks such as registration and hotel room assignments, building event websites, and managing attendee communications. This position involves multitasking and handling administrative duties like scheduling, travel coordination, and maintaining an event master calendar for over 80 event dates. The coordinator will also contribute to researching venues, activities, restaurants, and transportation options to enhance event planning and execution.

In addition, the position requires a creative flair for designing event materials including itineraries, handouts, nametags, and digital applications used during events. The Event Coordinator will support internal teams by ensuring that timelines and deliverables are consistently met. This role demands strong organizational skills, meticulous attention to detail, and the ability to manage various projects simultaneously. Candidates are expected to demonstrate proficiency with budgeting tools and software such as Microsoft Office, Canva, and Cvent as well as database management systems. Job Duties

  • Assist senior team members with registration and hotel rooming duties including building event registration websites, sending reminders, and managing attendee registration questions for multiple events simultaneously
  • Perform administrative duties including scheduling meetings across various groups, registering attendees, coordinating travel, and organizing 80+ event dates on a master calendar
  • Contribute to researching event details such as venues, hotels, activities, restaurants, and transportation
  • Initiate the design of event collateral and meeting materials including itinerary, handouts, nametags, and mobile app
  • Support internal teams to ensure timelines and deliverables are met
