The organization specializes in hosting a diverse range of year-round events including concerts, exhibitions, community gatherings, food truck programs, and fairs. Job Requirements
- must be at least 18 years of age
- minimum 2 years experience in event coordination
- at least 1 year coordinating staff
- ability to multi-task and handle challenging situations with professionalism
- proficient in MS Office and event booking software
- availability to work all 23 days of annual OC Fair
- ability to work flexible hours including evenings and weekends
- strong communication and organizational skills
- high degree of energy and problem-solving capability
- self-motivated and able to work independently
Job Qualifications
- must be at least 18 years of age
- minimum 2 years experience coordinating events in a large civic center, auditorium, theater, or similar setting
- at least 1 year experience coordinating event staff
- strong planning and organizational skills
- high work standards and ability to multitask
- energetic and able to remain cheerful under pressure
- sound judgment and problem analysis skills
- flexible and able to meet deadlines

- excellent verbal, written and listening communication skills
- ability to effectively communicate and present to decision makers

- proficient in MS Word, Outlook, Excel and event booking software or similar database

- general networking and telephony knowledge
- availability for all 23 days of the annual OC Fair
- ability to work outside normal business hours as event demands
Job Duties
- Coordinate, organize and facilitate year-round events
- assist with operation of Event Sales & Services Department
- meet with prospective promoters and conduct client tours
- determine event specifics including facility, equipment and personnel needs
- develop event contracts and ensure obligations are met
- prepare event information sheets and coordinate work orders with various operational departments
- monitor event services including food truck programs
- act as liaison with year-round tenants
- represent the organization during events including setup and teardown
- evaluate operational issues and provide solutions
- respond promptly to emergencies
- ensure venue readiness and compliance with safety regulations
- compile and reconcile billing and generate post-event settlement sheets
- submit post-event reports and conduct evaluations
- maintain communication with customers and internal teams
- assist with administrative tasks and reporting
- work varied hours based on event demands
- participate in annual fair duties as required
