Job Description

This position is available with a reputable event management team operating within a major civic center environment. The organization specializes in hosting a diverse range of year-round events including concerts, exhibitions, community gatherings, food truck programs, and fairs. The position being offered is that of an Event Coordinator, a vital role responsible for orchestrating the seamless execution of various events and ensuring ongoing revenue generation through 100% client retention. The employment type is part-time, requiring availability approximately 2-3 days per week, with hours increasing during busier event schedules but not exceeding 122 days annually. The hourly pay rate for this role is set at $23.25.

The Event Coordinator plays a pivotal role in the success of the organization by managing all aspects of assigned events from start to finish. Key responsibilities include coordinating with promoters, facilitating tours for potential clients, developing contracts, and ensuring all event logistics such as staffing, equipment, and facility needs are met effectively. The role demands meticulous attention to detail in preparing information sheets, coordinating work orders with various operational departments such as maintenance, parking, guest relations, admissions, technology, and reception. This role also acts as a liaison between the organization and other tenants while managing specific programs such as food truck events. The Event Coordinator represents the company during events, handles setup and teardown, and responds promptly to emergency situations to ensure the safety and satisfaction of clients and guests.

Additionally, this position involves evaluating and analyzing operational concerns, compiling and reconciling billing details for event settlements, and preparing detailed post-event reports. Effective communication skills and the ability to maintain composure under pressure are critical as the Event Coordinator frequently interacts with customers and internal teams. Working hours are flexible, requiring availability outside regular business times to accommodate event schedules. Job Requirements

Job Qualifications

  • must be at least 18 years of age

Job Duties
