The current opportunity is for an Event Production Coordinator, a vital in-office role based in West Hollywood. The Event Production Coordinator will work directly alongside the Production Manager and Production Director, managing various facets of event production to ensure seamless event execution.

Responsibilities in this role include collaborating closely with the owner, design team, and vendors to develop custom crafted items such as fabrics, linens, and branded apparel that align with each event's unique theme. The coordinator will take charge of assembling and organizing detailed event production kits, ensuring all required materials and equipment are efficiently packed and accessible at event sites. Additional duties involve creating personalized bride and groom bags with essential onsite items, reviewing vendor contracts, confirming terms and deliverables, and guaranteeing vendor communications are timely and thorough.

Moreover, the role demands meticulous tracking and inspection of all custom-made materials, troubleshooting any issues before the event. The coordinator will also help craft and maintain comprehensive event timelines, managing logistics for vendor arrivals, load-in, and setups while providing crucial support during live events. This includes handling last-minute changes and vendor coordination to resolve unforeseen challenges promptly.

Ideal candidates will possess a strong background in event production, logistics, or related fields and demonstrate exceptional organizational skills with an eye for detail. Effective communication and a collaborative spirit are essential, along with a problem-solving mindset and a can-do attitude. This full-time position offers a competitive salary range between $70,000 and $85,000 annually, commensurate with experience. Job Requirements

  • Bachelor's degree or equivalent experience in event management or related field preferred

Job Duties

  • Collaborate with owner, design team, and vendors to create custom and specialty items, including custom fabric and linens, branded apparel, and other custom items
  • assemble and organize event production kits according to specific event requirements ensuring all necessary equipment, materials, and supplies are properly packed and readily accessible for onsite use at events
  • create bride and groom bags, incorporating essential items for onsite use at events
  • assist in reviewing vendor contracts, ensuring all terms, deliverables such as rentals, and sending out vendor confirmations weeks before events
  • track and inspect all incoming materials that are custom made, trouble shoot any issues that arise
  • assist with creating and maintaining event timelines, ensuring all aspects of the event from set-up to tear-down are executed smoothly and efficiently
  • aid in organizing logistics for vendor arrivals, load-in, and set-up, ensuring they have the necessary information and resources to execute their tasks
  • provide on-site support during events, helping with last-minute changes, vendor coordination, and addressing any unforeseen issues that may arise
