Job Description
This position is with a well-established organization specializing in managing educational and professional programs, particularly focusing on health sciences and regulated industries. The company is known for delivering comprehensive program event planning and coordination services that cater to diverse industries where adherence to strict regulatory standards is essential. The environment is fast-paced and requires meticulous attention to detail, superior organizational skills, and the ability to maintain effective communication among various stakeholders involved in the program management process. The role involves full accountability for coordinating program event planning and management. This includes sourcing venues, negotiating fees, handling venue payments, and planning approved menus to ensure that all aspects of event execution meet client specifications and regulatory guidelines. The successful candidate will be responsible for entering travel and audio-visual details into third-party websites, maintaining and modifying a program planning database, and documenting program changes with precision. This role also requires the management of various communication channels, including daily phone and email support to sales representatives, faculty, speakers, and vendors, ensuring timely and accurate information flow.
Additionally, this position demands a high level of organizational expertise to run daily reports necessary for managing workloads and task prioritization. Reporting on key metrics and adherence to processes and procedures is vital to maintaining operational excellence within the department. Candidates must demonstrate exceptional interpersonal skills to navigate interactions with customers and colleagues effectively within a regulated environment. The ability to manage multiple priorities simultaneously without compromising quality is critical, as is proficiency in essential software tools such as Microsoft Office Suite and Gmail Workspace.
The ideal candidate will have a background that includes experience in customer service, hospitality, pharmaceutical, or medical industries, with a preferred college degree but a minimum of a high school diploma or GED is required. Job Duties
- Coordination of full program event planning and management

- manage appropriate inboxes as they relate to customer requirements
- run reports daily to manage workload and tasks
- maintain current knowledge of appropriate regulations eg OIG PhRMA Code
