The Events Coordinator will be responsible for generating accurate documentation including service orders, spreadsheets, check requests, and manifests essential for event planning and execution. This role also involves negotiating and executing contracts with vendors providing services such as transportation, entertainment, venues, and restaurants, always under the supervision of the Event Manager.

In addition to administrative responsibilities, the Events Coordinator plays a key role in developing proposals and managing group files in collaboration with other departments. This contributes to the overall success of events by ensuring all logistical elements are coordinated in a timely and efficient manner. The position requires exceptional oral and written communication skills, multi-tasking abilities, and proficiency in computer applications, particularly word processing and spreadsheets.

Candidates must be detail-oriented with a strong emphasis on accuracy and the ability to work efficiently under tight deadlines. The role demands someone who can work independently as well as part of a team, with a flexible attitude towards working hours including some nights, weekends, and overtime as necessary. Job Requirements

  • High school diploma or equivalent
  • Prior experience in event coordination or related administrative roles
  • Strong computer skills including word processing and spreadsheets
  • Ability to work flexible hours including some nights, weekends, and overtime
  • Must reside on Oahu
  • Must be able to fly inter-island as required
  • Ability to work efficiently under tight deadlines
  • Excellent communication skills

Job Qualifications

Job Duties

  • Support event manager by generating accurate paperwork such as service orders, spreadsheets, check requests, manifests, and other documentation as may be required in a timely manner
  • Negotiate and execute contracts for vendor services on behalf of the company, including vendors providing activities, transportation, entertainment, venues, and restaurants with the event manager supervision
  • Develop proposals and manage group files while working effectively with other departments
  • Attend department meetings and on-going training sessions as required
  • Perform copying, filing, and other clerical duties as needed
  • Support assistant director or director of events as needed
  • Maintain open and timely communication with clients, vendors, and teammates at all times
