Job Requirements
- High school diploma or equivalent
- Prior experience in event coordination or related administrative roles
- Strong computer skills including word processing and spreadsheets
- Ability to work flexible hours including some nights, weekends, and overtime
- Must reside on Oahu
- Must be able to fly inter-island as required
- Ability to work efficiently under tight deadlines
- Excellent communication skills
Job Qualifications
- Excellent oral and written communication skills
- Detail oriented with particular emphasis on accuracy
- Strong ability to multi-task and prioritize
- Proficient in word processing and spreadsheet computer applications
- Ability to work independently and as a team player
- Prior travel experience and knowledge of the Hawaiian Islands preferred
- Experience in event coordination or related field preferred
Job Duties
- Support event manager by generating accurate paperwork such as service orders, spreadsheets, check requests, manifests, and other documentation as may be required in a timely manner
- Negotiate and execute contracts for vendor services on behalf of the company, including vendors providing activities, transportation, entertainment, venues, and restaurants with the event manager supervision
- Develop proposals and manage group files while working effectively with other departments
- Attend department meetings and on-going training sessions as required
- Perform copying, filing, and other clerical duties as needed
- Support assistant director or director of events as needed
- Maintain open and timely communication with clients, vendors, and teammates at all times
