Job Description
The City of Pasadena, California, is seeking an experienced and highly organized Events Coordinator to join its Parks, Recreation and Community Services Department. This department is dedicated to enhancing the quality of life for Pasadena residents by providing exceptional recreational and community services. The Events Coordinator role is integral to the Recreation Division, tasked with managing the permit process and coordination for special events throughout the city. This includes responding to public inquiries, processing permit applications, performing onsite event management, conducting inspections, and working closely with multiple city departments to establish event parameters and ensure compliance with policies and regulations.
The ideal candidate will have a robust understanding of Pasadena’s community and municipal departments, along with proven experience handling event permits from application to completion. Exceptional organizational skills, communication abilities, and conflict management expertise are essential for success. The Events Coordinator serves as a vital liaison among event organizers, city departments, vendors, public safety personnel, and the community, ensuring smooth operations that adhere to the city’s safety standards and ordinances.
Key responsibilities also include coordinating logistical details for permits, marketing city locations for private and public events, and supporting city-sponsored event production from planning through onsite execution and post-event wrap-up. The position calls for self-direction within the framework of established policies and procedures and ability to juggle multiple tasks while maintaining positive collaboration with diverse stakeholders.
Candidates typically possess a bachelor's degree in recreation program management, facilities and events management, public relations, or a related field, coupled with at least two years of increasingly responsible administrative experience in recreation, event, or public relations program management. Experience in government or public sector work, particularly managing permits and collaborating across city departments, is highly preferred. The job also requires proficiency in Microsoft 365 applications to manage records, communication, and workflows efficiently.

Job Requirements
- Bachelor's degree in recreation program management, facilities and events management, public relations or related field
- Two years of progressively responsible experience in recreation program management, event management or public relations
- Valid California Class C driver’s license
- Ability to comply with City’s Motor Vehicle Safety Policy
- Strong communication and interpersonal skills
- Proficiency in Microsoft 365 online applications including Outlook, Word, Excel, Teams, SharePoint, OneDrive, Forms
- Demonstrated ability to manage multiple priorities and projects
- Experience in the public sector preferred
Job Qualifications
- Graduation from an accredited four-year college or university with a major in recreation program management, facilities and events management, public relations or a related field
- Two years of progressively responsible experience in administrative support or involved in recreation program management, event management or public relations
- Experience working in the public sector, such as within a city, county, or other government agency
- Familiarity in applying ordinances, policies, and interdepartmental processes related to public events or community use of facilities
- Demonstrated independent permitting experience including managing event, filming, or facilities-related permits from intake through approval, coordination, and compliance
- Experience supporting community event production including planning, logistics, onsite operations, and post-event activities for public or recreation-based events
- Strong organizational, communication, and self-management skills
- Ability to independently prioritize work, adapt to changing demands, collaborate with diverse stakeholders, and maintain a positive, professional, and solutions-oriented approach
Job Duties
- Responds to public inquiries by providing rules and regulations, location information, rates, date availability and technical information and by answering related questions
- Accepts and processes permit applications
- prepares bills and collects fees
- Resolves billing and collection issues
- publishes, maintains and archives permits and files
- provides general administrative support as needed
- Reviews applications and sends to appropriate City departments for approval
- Schedules and attends meetings with City departments and/or impacted businesses and residents to determine logistics and resolve issues prior to permit approval
- Coordinates with permit applicants on modifications to the permit application
- notifies the public about event impacts
- Interfaces with the public, the production community, event promoters and businesses to market and promote City locations and businesses for events
- Oversees publication of collateral materials and website updates
- May attend scheduled events and represents the City in providing onsite supervision and coordination of City resources with event producers, concessionaires, security and other event vendors
- Monitors events for compliance with permit and City rules, regulations and ordinances
- Arranges contacts for services such as police, fire, ambulance and other public safety personnel and equipment in emergency situations
- Assists with City-sponsored event production by supporting planning, onsite operations, and post-event wrap-up in coordination with City departments, vendors, and public safety staff under the direction of the Events Program Coordinator
