The Event Coordinator role at HDR, located in Omaha, Nebraska, is a full-time, regular position within the Marketing and Admin business class. This role is integral to our organization, responsible for planning, coordinating, and executing high-quality events, conferences, and training sessions that align with HDR’s professional standards and enhance our brand presence. The Event Coordinator serves as the logistical backbone of our events, managing every aspect from vendor coordination and contract negotiations to on-site event execution. Working closely with multiple departments and external partners, this role demands exceptional organizational skills, attention to detail, and the ability to manage multiple projects simultaneously while ensuring client satisfaction.

As an Event Coordinator, you will coordinate timelines, production schedules, and resources to ensure events run smoothly and within scope and budget. Responsibilities include managing venue selection, room setups, audiovisual arrangements, catering, travel, lodging, and shipping logistics. You will act as the primary on-site contact, ensuring seamless event delivery and a positive experience for attendees. This role also involves financial responsibilities such as processing invoices, tracking expenses, and post-event financial reconciliation.

HDR values experience in event logistics and management, with a preference for candidates holding a Bachelor’s degree in Hospitality, Event Management, Business, or related fields, along with 2 to 4 years of relevant experience. Proficiency in event management software, knowledge of AV technology, strong analytical skills, and excellent vendor relationship management are highly regarded. As a vital member of our team, you will partner closely with internal stakeholders, leadership, and steering committees to align event objectives and deliver impactful, memorable events.
